About the Role



We're looking for a proactive and highly organised Executive Assistant to support the Managing Director and keep the business running smoothly. You'll be a key point of contact internally and externally, representing the company professionally and keeping priorities on track.

You'll work across coordination, admin and occasional customer-facing tasks, joining meetings to capture notes and actions when needed. Alongside Vangoo, you'll also support the wider group of businesses, assisting with tasks and projects as they arise. You'll work closely with the Finance & Admin Manager to ensure the business operates efficiently.

Executive Support



Manage the MD's diary, meetings, travel and daily priorities. Act as a trusted point of contact for clients, suppliers and partners. Join meetings to take notes and track follow-up actions. Prepare agendas, documents and briefing materials. Monitor and prioritise communication on the MD's behalf

Operations & Administration



Maintain organised digital files, contracts and documentation. Support day-to-day admin and operational tasks. Liaise with internal teams to keep workflows aligned. Assist with supplier and partner coordination. Provide support across the wider group of companies as needed.

Customer Service Support



Assist with customer enquiries during busy periods. Collect documents, chase updates and support communication. Help ensure a smooth customer experience from enquiry to delivery.

Finance & Admin Support



Process basic invoices, receipts and expenses. Maintain simple trackers, spreadsheets and reports. Support onboarding and general administrative processes.

Project & Business Support



Support ad-hoc projects, improvements and new initiatives. Coordinate with external partners, agencies and suppliers. Take ownership of tasks and identify opportunities to improve processes.

What You'll Bring



Strong organisational skills and attention to detail. Proactive, solutions-focused mindset. Confident communication skills and professional presence. Adaptability in a fast-paced, growing environment. Confidence with Excel/Sheets, Google Workspace, CRMs and digital tools. Discretion, reliability and professionalism.

Nice to Have



Previous EA or senior admin experience. Experience supporting a founder, MD or leadership team. Background in automotive, logistics or operational environments.

Job Types: Full-time, Permanent

Pay: 35,000.00-40,000.00 per year
