Guildford \xe2\x80\x93 \xc2\xa330,000 - \xc2\xa333,000 An exciting opportunity has arisen for an experienced executive assistant to join the team of a leading law firm in Guildford. The Management team consists of 10 HODs, the Managing Partner, and the Executive Committee, the suitable candidate will be assisting the HODs and the Management team with all aspects of their management responsibilities. Specific responsibilities (this is not an exhaustive list)

  • To take minutes/notes of meetings, draft letters, handle telephone calls, file and trace correspondence
  • To liaise with members of the EC, HODs and Heads of Office (HOO) and other members of staff
  • To pro-actively manage the HOD\'s diaries and arrange all management meetings, appraisals, attendance at events and reservations
  • To assist with the arrangement of team building events and other staff socials and arrange the weekly/monthly/annual ad hoc staff incentives
  • Direct communications and correspondence with a wide range of external contacts (such as banks, accountants, property agents, PR companies, legal professionals, HR agents etc).
  • Day to day involvement and responsibilities in relation to discrete management projects (eg office relocations, salary reviews, appraisals etc) Additional and or different duties this job description is non-exhaustive and the firm reserves the right to vary the duties and responsibilities of the post holder at any time according to the needs of the firms business.
Qualifications
Extensive experience at management level assisting executives/directors. Essential personal qualities, skills and abilities
  • Ability to organise self and others
  • Have confidence in dealing with senior managers (HODs, HOOs, EC)
  • Working appropriately on own initiative without supervision
  • Is professional and courteous in communication at all times, both internally with colleagues and externally with clients and others
  • Demonstrates a positive attitude
  • Excellent communication skills, both written and verbal
  • Strong attention to detail and organizational skills
  • IT literacy, particularly proficiency with Word, Excel, Powerpoint, Teams
  • Confidentiality and trustworthiness
  • Preparedness to engage in continuous learning
