Executive Assistant/Office Manager
to join us at our head office in Altrincham, Greater Manchester. This is an exciting opportunity for a highly capable individual to play a key role in supporting senior leadership, overseeing day-to-day office operations, and helping shape a positive, high-performing workplace culture.
We are seeking a highly organised and dependable
Executive Assistant/Office Manager
to support the Managing Director and ensure the smooth operation of our office. In this varied and hands-on role, you'll oversee administrative tasks, manage facilities and compliance, support HR and recruitment, and help maintain a high-functioning, positive workplace. You'll work closely with leadership, act as a key point of contact for internal teams and external partners and play a central role in keeping the business running efficiently.
Key Responsibilities
Executive & Administrative Support
Assist with managing the MD's inbox and calendar: help monitor emails, book meetings, and support prioritisation of key communications
Make decisions and take initiative on the MD's behalf when required
Arrange travel and accommodation for team members
Assist with legal and compliance tasks (e.g., T&Cs, contracts, documents)
Office, Facilities & Operations Management
Ensure the smooth running of the office on a daily basis
Submit invoices and receipts via accounting software
Oversee servicing and maintenance of on-site equipment and systems
Order and maintain stock of office supplies, ensuring key items are always available
Coordinate deliveries and on-site training sessions
Manage company correspondence and document filing
Liaise with suppliers, maintenance contractors, and service providers
Use the Atlas platform to manage and monitor facility compliance tasks
,
including safety checks and maintenance scheduling
Assist with fire safety procedures and act as First Aider for the site
Stay on top of staff training records and compliance documents, ensuring all files are complete and up to date
People & Culture
Liaise with our external HR provider
Support recruitment activities (posting jobs, scheduling interviews, onboarding)
Plan team-building events and social activities
Maintain a positive and supportive team environment
Help address internal disputes and escalate where needed
Customer Service & Communication
Provide occasional support to the Customer Service Manager with day-to-day enquiries and administrative tasks
Respond to customer emails and phone calls professionally when required
Assist in resolving customer issues by liaising with relevant internal teams.
Welcome and assist visitors, ensuring a positive first impression of the business
What You Need to Succeed
Proven experience in a similar role (EA, PA, Office or Facilities Manager)
A natural problem-solver with a calm, confident approach
Strong customer service skills with the ability to communicate clearly and empathetically
Highly organised with excellent attention to detail
Confident decision-maker who can juggle competing priorities
Friendly, approachable, and committed to supporting the wider team
Discreet and trustworthy when handling confidential information
Comfortable using digital tools and platforms (e.g., Atlas, accounting software, HR or compliance systems)
Salary & Benefits
Competitive base salary: 35,000-40,000 (DOE)
