The Executive Sales Assistant provides high-level administrative and sales support to the Sales Director and management team within a wholesalebusiness. This role ensures the smooth coordination of sales operations, customer account management, and internal communication between sales and dispatch teams. The ideal candidate is organized, detail-oriented, and passionate about supporting a business that supplies quality garden sundries, decor, wildlife and home products to trade clients.
Key Responsibilities
Sales & Customer Support
Support the Sales Director in managing key trade accounts, processing orders, and coordinating customer communications.
Respond promptly and professionally to inquiries from garden centres and other wholesale clients.
Prepare quotes, sales confirmations, and product availability lists.
Assist with pricing updates, contract renewals, and tender submissions.
Maintain accurate client records and sales notes in the CRM system.
Executive & Administrative Support
Manage the Sales Director's calendar, appointments, travel, and correspondence.
Draft and format sales reports, presentations, and client proposals.
Handle confidential information with professionalism and discretion.
Organize internal and client meetings, record minutes, and track action items.
Operational Coordination
Liaise with
production
, dispatch, and logistics teams to ensure accurate order fulfilment and delivery scheduling.
Track availability and inventory levels for key product lines.
Assist in planning trade shows, client visits.
Reporting & Analysis
Compile and distribute weekly and monthly sales reports and forecasts.
Monitor sales trends, customer demand, and market opportunities.
Assist with budgeting, target tracking, and performance metrics for the sales team.
Qualifications
Education:
Certificate, Diploma, or Degree in Business Administration, or related field such as Marketing (or equivalent experience).
Experience:
3-5 years' experience in a sales coordination or executive assistant
Familiarity with trade client management, logistics coordination, and seasonal production cycles.
Skills:
Excellent organizational and time-management abilities.
Strong written and verbal communication skills.
High proficiency with Microsoft Office (Excel, Outlook, PowerPoint) and CRM/ERP systems.
Strong attention to detail and accuracy with data and documentation.
Ability to build strong relationships with clients and internal teams.
