Chadwick Design and Project Management Ltd is a small but very fast-paced and busy architectural practice, providing design services, project management, interior design and principal designer services, primarily within the healthcare and education sectors, based in the village of Holmpton. We work very much as a team ready to step in and assist as and when necessary. The majority of our work is from repeat clients with whom we have very good working relationships.

Job description



Chadwick Design are seeking a highly experienced office administrator with at least 15 years' experience to work as a Senior Administrator and PA to the Architect Director, to start as soon as possible, ideally within the next two weeks. This is an office-based position and the candidate needs to live within close enough proximity to the office location to be able to commute. Due to the location of the business, the candidate must be able to drive and have use of a vehicle to commute to work.

The candidate should have a good working knowledge of an office environment with good organisational skills and computer skills using the Microsoft Office package.

Experience of working within the construction industry would be very beneficial, along with proactivity and excellent grammar skills with a strong use of the English language.

The candidate must be flexible, with working hours being a minimum of 9.30am until 5pm over a four day week with flexibility in terms of when the day off will take place during the week. This is a very busy and demanding job, which requires flexibility around breaks and working through to meet the demands of the business. The candidate must be able to work with minimal direction, hence the requirement for the minimum experience requested.

The candidate must be willing to work on a consultancy basis.

Work requirements include the following:



Reviewing of emails and advising of the urgency to respond.

Responding to emails in conjunction with the Company's representative.

Preparation and issuing of reports, as directed by the Architect.

Preparation and issuing of agendas and minutes of meetings and issuing of meeting invites.

Preparation and issuing of pre-construction information pack for health and safety files.

Preparation and issuing of correspondence including fee proposals.

To take dictation to write letters, emails and reports.

Filing of emails.

Creating new job numbers / files.

Preparation and issuing of Architect Instructions, payment certificates, snagging lists and other contract administration requirements.

Preparation and issuing of invoices.

Maintaining document management and filing electronically.

Ordering of office supplies and managing the stock.

Booking travel arrangements and overnight accommodation as required.

Liaising with clients, contractors and consultants.

Preparation of planning applications and building regulations applications, including supporting documentation prepared by the Architect.

Issuing of drawings to various parties, including checking latest drawn information is on file.

Undertaking product research on the internet.

The organisation of social gatherings.

Organising staff timesheets.

Organising/researching continual professional development.

Other ad-hoc duties as required.

Hours of work will be approximately 30hrs per week by agreement depending on workload.

Rate of pay to be agreed dependent on experience.
