As we advance in our global expansion, we are looking for an experienced Facilities Manager to join our Facilities team. In this role, you will drive the day-to-day operations of the Thought Machine London headquarters (HQ). Your primary focus will be on establishing a world-class office experience by devising and implementing a strategy. You will manage the London Facilities team and work with the regional leads to embed best-in-class practices across all our offices. As an an organised individual with an"all hands on deck" approach, you will be at the heart of nurturing our culture.

Duties

  • Lead and manage the London Facilities team, including baristas, facilities assistants, and third-party providers.
  • Establish standards, objectives, and targets to ensure team develop and deliver an exceptional company space
  • Enhance employee, client, visitor, and subtenant experiences by improving shared spaces, meeting rooms, and booking processes
  • Oversee daily operations through daily walkthroughs of all floors and resolve snagging requests promptly
  • Enhance process and tools for business requests
  • Collaborate with departments and stakeholders, including CEO, CFO and CPO
  • Manage office porteage, including furniture logistics
  • Coordinate team building relocations
  • Lead / support cross-functional events and initiatives
  • Manage facilities internal brand and communication, acting as a role model for Thought Machine
  • Foster relationships with landlord, building management and subcontractors
  • Manage HQ office financials, including spending, cost allocation, and budget reviews, while ensuring adherence to financial and procurement processes
  • Collaborate with Security, Finance, Risk & Compliance, People, IT and Operations to uphold business continuity plans, security, and health and safety standards.
Requirements

Essential
  • Extensive office management and facilities experience
  • Managerial experience of a 10+ facilities team
  • Outstanding organisational and time management skills
  • Strong financial acumen and proven ability to manage budgets
  • Highly developed written and verbal communication abilities
  • Highly proficient in understanding, interpreting and presenting data, using tools such as spreadsheets, presentations and other mediums
  • Proven ability in strategic stakeholder management and delivering impactful presentations to all levels of seniority
  • Substantial experience in project or programme management
  • Able to work in a fast-paced environment, where processes and the working environment change frequently
  • Located in London, full-time attendance in the office is required
  • Some international travel may be required

  • Speaks Spanish
  • Experience of Google suite, Attasian products (JIRA and Confluence), Slack
