The following are the core responsibilities of the facilities administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:
a. Coordinating proactive maintenance and premises checks in a timely manner with external providers - eg fire and security, legionella, PAT testing, calibration of equipment
b. Equipment maintenance programme and planning eg pulse oximeters, BP monitors, spirometry, ECG
c. Initiating contact with and responding to, requests from team members and external agencies
d. Health and Safety audit and checks in accordance with statutory requirements
e. Coordinating risk assessment audits of the premises
f. Acting as fire marshall
g. Reactive repairs to the premises, ensuring they are fit for purpose
h. To keep management appraised of any issues that may arise as a result of servicing
i. Obtain quotations for any remedial repairs to always ensure best value for money
j. Liaise with cleaning company and ensure audits are completed
k. Organising monthly legionella testing
l. Assisting with IT troubleshooting and projects
m. Deducting patients and returning records to PCSE
n. File and store patient records as required and digitalise paper records
o. Data entry of new, temporary and out of area patient registrations adding relevant patient information as required
p. Actioning automated tasks eg cancelled appointments, waiting lists
q. Photocopy documentation as required
r. Ordering and monitoring of stationery supplies
s. Manage all queries as necessary in an efficient manner
t. Maintain a clean, tidy, effective working area at all times
u. Support all clinical staff with general tasks as requested
In addition to the primary responsibilities, the facilities administrator may be requested to:
a. Scanning of patient related documentation and attaching scanned documents to patient's healthcare records
b. Read code data on practice system
c. Input data into the patient's healthcare records as necessary, including screening results
d. Assisting recalling patients for screening and treatment, eg NHS health checks, cervical smears and coils
e. Summarise new patients records
f. Process requests for information i.e. SAR, insurance, solicitor's letters, iGPR and DVLA forms and invoice accordingly
g. Carry out system searches as requested
h. Partake in audit as directed by the audit lead
i. Support administrative, providing cover during staff absences
