We're excited to offer an opportunity for two Facilities and Workplace Services Assistants to join our dynamic team. This is a hands-on office-based role with a varied to-do list and a work environment that's always evolving - no two days are the same! You'll be an integral member of a Helpdesk, providing support to the smooth running of the building and delivering workplace support for staff, tenants, visitors and contractors.


This role will enable you to build your career in workplace and facilities management. You'll be at the heart of delivering essential services, collaborating on initiatives that enhance how we use our spaces and developing valuable knowledge in health, safety and compliance.

What you will be doing.

Work to service level agreements to ensure a welcoming, efficient and safe workplace for staff, tenants, contractors and visitors. Be a key part of the Facilities and Workplace Services Helpdesk, communicating via various portals and job logging systems, including Computer Aided Facilities Management (CAFM) software. Assist with core services, including printing, post room operations, courier bookings and business travel arrangements. Support facilities operations, including implementing workspace initiatives, liaising with cleaning, maintenance and security contractors and upholding health and safety requirements. Assist with meetings and events at WMCA Head Office, coordinating meeting room services, including catering and space layouts. Order and maintain workplace supplies, suggesting efficiencies to reduce expenditure. Collate data for dashboards and programmes to monitor and report on customer queries, identifying trends and inform service improvements. Conduct regular quality and safety checks of office spaces. Maintain accurate systems, process guides and shared documentation. Support financial processes, including purchasing, raising of orders and reconciliation. Liaise with contractors and suppliers to track order progress and manage projects to completion.

What's essential.

Educated to GCSE level or equivalent. IT Skills, including Word, Excel and PowerPoint Written and verbal communication skills. A can-do attitude, working off own initiative and being self-motivated to deliver. Collaborative working spirit that enhance sand builds effective working relationships.

Location.

The location for this role is 16 Summer Lane. Whilst the organisation offers hybrid working, the nature of this role requires someone on-site

5 days a week

, with some flexibility offered in time. Please note, this is the minimum expectation.
