As a Facilities Assistant, you will support the smooth and professional running of office facilities by ensuring infrastructure is well-maintained, coordinating functions effectively, and managing resources in line with budgets, company policies, and relevant regulatory requirements
In this role you will:
You will facilitate the efficient and professional operation of office facilities by maintaining all infrastructure to a high standard, managing functions accurately, adhering to budgets, company policies and all applicable governmental and regulatory requirements.
Key Responsibilities.
Maintain office space to a high standard, ensuring cleanliness, safety, and compliance with Health & Safety and Fire Safety regulations
Greet visitors professionally, manage deliveries, couriers, post, and provide refreshments/catering for meetings.
Oversee office supplies, consumables, and equipment, ensuring cost-effective purchasing and adequate stock levels.
Manage vendor, landlord, and service provider relationships, including contracts, negotiations, invoices, and payments.
Schedule and oversee routine maintenance, cleaning services, repairs, and insurance renewals.
Ensure facilities-related financial management, including budgeting, expense submissions, and invoice approvals.
Support IT and infrastructure needs for office moves, new employees, and workspace setup.
Coordinate staff medical checks, travel arrangements, and expense processes.
Implement and update facilities policies and procedures to improve efficiency, and collaborate with management on maintaining a productive work environment.
