We are recruiting a

Facilities Coordinator

who will play a crucial role in maintaining the seamless operation of HCMUK facilities, whilst working closely with various departments to establish a secure, efficient and comfortable work environment for all HCMUK employees!

Responsibilities:




Assist with co-ordination of planned preventive maintenance, depot maintenance and DIY tasks. Operate a facilities helpdesk for North depots, managing the day-to-day requirements/ enquiries. To support the QHSE Director regarding all team activities including, technical support, administration, health and safety and security. To support the QHSE Director with projects, such as data analysis and information gathering. Assist with depot inspections and upload audit findings onto applicable software platforms. Support in conducting fire alarm drills/ evacuations and fulfilling fire marshal responsibilities. Maintain cleanliness and order in meeting/ training rooms, always ensuring the availability of chairs and necessary equipment such as flipcharts and appropriate pens. Support with asset management, disposals, and dilapidations. Maintain accurate records related to facilities, including all enquiries. Keep track of regular and ad-hoc expenses. Generating the necessary purchase orders and making invoice adjustments. Arranging visitor notices via Intranet platform and updating the facilities intranet when required. Assist on various procurement activities for current and new suppliers. Take ownership of compliance tracker, ensuring all statutory compliance checks are carried out. Daily/weekly Health & Safety and fire equipment inspections. Keep Fire Log and L8 waterlog up to date. Liaise with existing suppliers to fulfil facilities requests from customers. Support QHSE Director with various committees/forums. Keep stakeholders informed about facilities-related updates, changes, and initiatives through effective communication channels. Reviewing of Contractor RAMS (Risk Assessment and Method Statement). Support QHSE Director in procuring vendors and services for depots, expanding and updating the contractor list. Assisting on-site contractors and ensuring full inductions are conducted and recorded.

Knowledge, Skills & Abilities




Essential


Full UK Driving Licence. Maths and English qualifications - GCSE Level 4 (Grade C) and above. Educated to A Level standard. Demonstrable experience in buildings and ground maintenance. Intermediate level of computer literacy, to include MS PowerPoint, Word, Excel and Outlook. Excellent time management, organisational and planning skills. Ability to work under pressure, with the aptitude to think on your feet and resolve issues that may arise. Ability to build rapport quickly with managers, colleagues and customers. Excellent verbal and written communication skills.
Preferred


Relevant H&S qualification (IOSH, NEBOSH etc.) or working towards. IWFM Level 3 or above. Previous experience in manufacturing or construction industry.
