As a Facilities Coordinator, you will play a crucial role in ensuring that our office runs smoothly and efficiently. Some of your main responsibilities will include:

  • Welcoming visitors, providing them with a warm and professional reception.
  • Answering incoming calls in a polite and professional manner, transferring or taking messages as necessary.
  • Managing the company\'s electronic security system, including issuing access cards and monitoring visitor entry.
  • Handling incoming and outgoing mail including distributing packages to the appropriate recipients.
  • Liaising with external vendors such as cleaners, maintenance providers, etc., to coordinate office maintenance and repairs.

What we\xe2\x80\x99re looking for
  • Proven experience in a similar receptionist or customer service role is preferred.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with the ability to build rapport quickly with visitors and colleagues.
  • Exceptional organizational skills, with attention to detail and the ability to multitask effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to handle sensitive information with discretion and maintain confidentiality at all times.
  • Knowledge of basic office equipment, such as printers, copiers, and telephone systems.
  • Ability to remain calm under pressure and handle difficult situations professionally.
