Context:



ISS in the UK provides high quality facility services designed to maintain the fabric and appearance of buildings. ISS provides facilities management; cleaning & hygiene services; maintenance and building services; catering; security and a wide range of other tailor-made services for customers throughout the Public and Private Sectors.

Job Purpose:



ISS Integrated Solutions will be responsible for the provision of an efficient and cost-effective facilities services to the client's building for which they are responsible.

Key Responsibilities:



Operational



Where applicable, first line management for FM team based on site e.g. cleaners, security, technical assistant. Including supporting Regional Operations Manager with HR processes.

If site FM lead responsible for Fire Safety Management and attending site HS&E & Security forum meetings.

Liaise with ISS Mobile Maintenance on a regular basis monitoring PPM's for the site including any reactive maintenance/repair work.

Management of all "Work Orders" input on my MCS including use of Maintenance Contractor Engineers or ISS Technical to carry out the work. Liaise with local customers to ensure satisfaction and monitor efficiency of response.

Ensure site security procedures are maintained, specifically documents such as the site security incident log, Business Continuity Plans and Disaster Invocation procedures.

Support FM in attaining budgetary targets including cost saving review of suppliers and services, on at least an annual basis.

Management of Royal Mail post - specifically opening incoming post and the issuing/completing special delivery stickers.

Raising of Purchase orders applicable to site in line with budget controls and nominated supplier base and maintaining records.

To supervise control of the internal office supplies, stationery etc. and replacing of stocks when required.

Being a central point of local contact for Facilities Management as well as answering the main office enquiries through different medium.

Ensuring Site Induction's are carried out with new joiners and contractors, issue H&S and Security Induction packages and record participation thereof.

Produce and manage all staff/visitor ID access cards for the site.

Assist with receiving clients and visitors by meeting and greeting them, bringing them to the designated meeting room and offering refreshments.

Coordinate internal movement of furniture and staff with the site management and FM.

Management of meeting rooms and audio-visual equipment. Ensure rooms are well stocked with required stationery and ensure that they are kept tidy and in good working order.

Assist ROM in monthly occupation data collection.

Assist ROM in production of site-specific reports

Upkeep of site-specific documentation including site forum minutes, security records including Business Continuity Plan and staff security and Health and Safety training records.

This position doesn't require presents onsite after your working hours however from time to time you may be called out, in the event you are called out you will be compensated for your time.

Heath & Safety



Hold IOSH Managing Safely or equivalent

Hold the post for/carry out the duties of the Site Health & Safety Coordinator as appropriate.

Complete Fire Safety Management training

Maintain a Healthy, Safe, and Secure Environment and ensure compliance with all Health & Safety legislation. Liaise with ISS & Atos HS&E Advisors.

Ensure Site compliance with new HSE legislation reporting accidents on AirsWeb System & Assessnet / ISS Near Hit app and conduct initial incident investigations.

Ensure that the company's Health and Safety policy is adhered to in all respects. This includes fire safety, first aid, management of contractors and visitors, attendance at HSE site meetings and testing the fire alarm each week.
