Job Overview


We are seeking a highly organised and detail-oriented Administrative assistant. The ideal candidate will have excellent computer skills, possess strong office experience and demonstrate proficiency in both Purchase Ledger and Sales Ledger roles.

Duties



Purchase ledger - dealing effectively with suppliers, processing incoming invoices, preparing payments, reconciling supplier statements, and resolving queries related to purchases and expenses. Sales ledger - managing accounts receivable by accurately issuing sales invoices, processing customer payments, reconciling accounts, chasing outstanding debts, and maintaining customer accounts. Manage daily office operations, including scheduling appointments and maintaining calendars. Handle incoming calls with professionalism, demonstrating excellent phone etiquette. Perform data entry tasks accurately and efficiently, ensuring all records are up to date. Assist in the preparation of reports and presentations using Microsoft Office. Maintain filing systems, both electronic and paper-based, ensuring easy access to important documents. Process invoices and manage basic bookkeeping tasks. Provide clerical support, including typing correspondence and managing office supplies. Collaborate with team members to ensure effective communication and project coordination.

Skills



Proven office experience with a strong understanding of administrative processes. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Excellent organisational skills with the ability to prioritise tasks effectively. Strong typing skills with attention to detail for accurate data entry. Demonstrated clerical experience with a focus on maintaining confidentiality and professionalism. Ability to communicate clearly and effectively, both verbally and in writing.
