You will be responsible for the day-to-day running of internal operations across the agency. This includes office and facilities coordination, general administration, IT and information security oversight, GDPR and data processing compliance, and administrative support to the Finance team and Senior Leadership Team. You will act as a key operations point of contact ensuring smooth, secure and compliant internal processes.
Main Responsibilities
Finance Support
Support the finance team with credit card reconciliation.
Assist with the processing of employee expenses and collation of receipts.
Assist with the processing of purchase invoices
Support the finance team in preparation for supplier pay runs.
Assist the finance team with chasing missing invoices, receipts and PO's.
Adhere to all Fables and Fire financial policies and procedures
Experience using Xero
Office and Team Support
Act as the internal point of contact for office management queries
Field inbound calls.
Ensure all office equipment and services are maintained appropriately
Manage and maintain the central inbox.
Maintain compliance with fire safety, office health & safety and security standards
Provide general administrative support to the Senior Management Team.
IT and Information Security
Act as the primary point of contact for the IT provider, including licence management, onboarding/offboarding users, troubleshooting, and approving monthly IT invoices.
Lead relevant IT accreditations and ensure GDPR compliance as the agency's Data Protection Officer.
Manage agency network security, including user log in and access approvals.
Maintain and update the agency's information security and data protection policies.
The experience we like you to have for this role:
1+ years experience in an administrative role
Experience in Xero
Proven office co-ordination skills
Strong organisation skills
Experience of managing operational suppliers such as IT companies, office facilities teams.
Experience in supporting a finance department
Strong process coordination skills
Exceptional verbal and written communication skills
