The Finance/Operations Manager is a pivotal and comprehensive role responsible for the entirety of the organisation's financial operations and all key administrative processes, ensuring compliance and providing critical financial oversight to the Director. This position demands a highly proactive and organised individual who can handle both strategic financial planning and day-to-day bookkeeping, alongside managing all aspects of office administration.
Key Responsibilities:
Comprehensive Financial Management & Reporting: Providing timely financial information to the Director, preparing annual budgets, cashflow forecasts, and management accounts. This includes managing all bookkeeping systems, accounting frameworks, and processing transactions.
Compliance & Oversight: Ensuring all financial and compliance requirements are met, particularly regarding not-for-profit accounting laws. This includes reviewing and developing current financial systems, policies, and procedures, overseeing all insurance renewals and claims, and ensuring accounting software (Sage) is up to date.
Payroll & HR Administration: Responsibility for preparing and delivering monthly payroll, liaising with pension providers, and ensuring all payments are accurate and on time. Includes collating and checking staff pay claims and holidays, and updating policies (e.g., staff handbook, GDPR) with new legislation.
Full Administrative Duties: Managing all administrative processes, including creating and updating the asset register, reconciling and coding monthly staff petty cash, and overall maintenance and organisation of digital filing systems (Google Docs). Also involves carrying out all necessary administrative duties in accordance with agreed procedures and ensuring GDPR compliance.
Stakeholder Management: Managing partner relationships, including auditors.
Director Support: Preparing and presenting financial reports to the Director, providing invoices where necessary, and supporting financial issues.
Required Experience & Skills:
Minimum of 5 years in a managerial accounting or finance role.
Proficiency in Excel.
Experience with accounting software packages, with Sage Accounts preferred.
An understanding of charity accounts, including not-for-profit companies and relevant accounting laws.
Ability to work collaboratively as a team, demonstrating flexibility to work over and beyond the job role when needed.
Exceptional ability to meet deadlines and manage workload independently.
A positive and creative attitude to problem-solving.
This role requires a highly organised, meticulous, and self-sufficient professional with a robust financial background and comprehensive administrative capabilities, experience within a not-for-profit environment but not essential.
