Job Purpose
We are seeking an experienced Finance Assistant to join our fast-paced team and provide support with purchase order processing and invoice query resolution across one of our government contracts. The role involves accurately following internal Goods Received Note (GRN) procedures to process a high volume of invoices efficiently, ensuring workflow volumes are kept to a minimum. The successful candidate will also support ad-hoc administrative duties for a UK-wide contract and will be responsible for resolving queries while communicating effectively with all relevant stakeholders. In addition, the role requires maintaining strong supplier relationships and providing ongoing support with all purchase order and invoice queries to ensure timely and effective resolution.
Responsibilities
The role involves supporting the management of a shared mailbox by responding to both internal and external queries in a professional manner, following established escalation procedures where necessary. The Finance Assistant will provide effective data analysis across multiple systems to ensure accuracy and continuity, while also ensuring that all systems are kept up to date. The position includes producing reports and providing operational support to the contract and Line Manager as required. Maintaining professional and proactive communication with suppliers is essential, ensuring they are kept informed of requirements to support the smooth running of their accounts. The role also requires close collaboration with colleagues to deliver a continuous and reliable service to internal clients, as well as providing cover for team members during holiday periods or sickness absences. In addition, the successful candidate will be responsible for running both cyclical and ad-hoc reports from the Coupa system.
Knowledge Skills & Experience
The successful candidate will demonstrate good knowledge of facilities management, although this is preferable rather than essential, along with a solid understanding of supply chain management. Excellent written and verbal communication skills are required, alongside strong proficiency in Microsoft Excel, with experience using VLOOKUPs and Pivot Tables considered advantageous but not essential. A good working knowledge of other Microsoft applications, including MS Outlook, is also expected. Experience using systems such as Coupa and Maximo would be beneficial but is not mandatory. The role requires strong analytical skills and a high level of attention to detail, as well as the ability to evaluate issues, identify root causes, draw clear conclusions, and effectively communicate both the cause of problems and proposed solutions.

They will show a willingness to investigate issues proactively, identify effective solutions, and maintain excellent organisational skills with a strong, self-motivated approach to learning.
