Recently rebranded, Pxa (pronounced Pik-sa) is an all-in-house marketing agency in the heart of Cardiff. Pxa was founded over a decade ago by CEO Darshan Patel, who was born and raised in Wales. Darshan decided the world needed a bit more personality in its pixels. During the rapid growth of our client base, we have the exciting opportunity to grow our Operations Team with a new Finance Assistant, who will assist the Head of Operations with financial management across the group, as well as business administration.

Role



We are looking for a bright, proactive, and hard-working candidate to join our friendly (and growing!) team. The ideal candidate will have a good understanding of financial management and administration and the drive to make an impact from your first day. You will work closely with the management team and will be a key player in the smooth functioning of the office, providing essential administrative and operational support, and supporting the wider Pxa group.

The ideal candidate will be used to a working in a fast-paced environment and managing multiple tasks with strong interpersonal skills, whilst maintaining effective and proactive communication with internal and external clients.

Key Responsibilities



As our Finance Assistant, you'll play a crucial role in supporting our teams, employees, and the wider business. Your responsibilities will include:

Comprehensive Financial Administration Support:



Perform daily bank reconciliations for multiple bank accounts. Prepare routine financial reports for the finance team, Head of Operations, and COO. Manage invoice tracking and credit control. Monitor and track deadlines in line with reporting and compliance requirements. Assist in the completion and processing of payroll.

Budget Support:



Provide up-to-date financial information to assist with the preparation of monthly, quarterly, and annual budgets related to sales, recruitment, and payables. Maintain and reconcile the petty cash account. Prepare monthly profit and loss reports with budget comparisons and balance sheet preparation.

Team Engagement and Support:



Provide routine reporting and meeting notes. Upload action points into ToDoist. Conduct vendor follow-ups and circulate specialist tasks to relevant teams.

Workflow and Operational Efficiency:



Assist with scheduling and document management. Monitor routine approvals and troubleshoot issues for team leads.

Support to the Senior Management Team:



Conduct basic research and draft reports. Document processes and coordinate meetings.

Ad Hoc Tasks:

Carry out other tasks as requested by Directors and the Senior Management Team.

What You'll Bring



To succeed in this role, you'll need:

Excellent IT skills

, especially in Microsoft packages (e.g., Excel, Outlook, Teams), with the ability and willingness to quickly learn new systems. A

comprehensive understanding of Xero is a MUST

(minimum 2 years' experience). Good customer service skills and the ability to understand customer needs. A proactive attitude and the ability to work independently on your own initiative. Secure bookkeeping skills and hands-on administration experience. Strong attention to detail and first-rate IT and systems skills.

Desirable Skills & Experience



While not essential, the following would be a significant advantage

SME Business administration experience. Familiarity with financial procedures and regulations, as well as reporting requirements. Previous experience as a financial services administrator or in the financial services industry. Experience with intercompany/cross-billing. Understanding of HMRC processes and procedures.
