Job Description


We are looking for a dual role Finance Assistant / Executive Assistant working approximately 30 hours per week over 5 days to join one of Liverpool City Regions largest independently owned hospitality businesses. Supporting the Directors and Finance Manager, this is a varied role where no two days will be exactly the same. This role requires a dedicated and flexible individual who is able to rapidly adjust to the needs of a fast growing business. Roles and responsibilities will include:

  • Managing invoices and receipts, ensuring they are entered and filed correctly as directed by the Finance Manager and ensuring and that all invoices / receipts are correctly addressed to the relevant business units
  • Collating the weekly payroll and hours report from each unit manager, ready for presentation to the Directors and Finance Manager
  • Working alongside the Commercial Manager to control the Sales Ledger, reconciling payments and ensuring that invoices due are paid in a timely manner, chasing payments from businesses and travel agents and dealing with queries where required
  • Ensuring that petty cash records are checked and kept up to date
  • Ensuring that all cash / till reconciliations are balanced and records kept up to date
  • Preparing and circulating the daily flash report
  • Providing full administrative assistance to the CEO including managing their e-mails and calls, assisting with their diary, running errands, preparing reports, organising company meetings / taking minutes, following up from meetings and assisting them with personal and charitable commitments as needed
  • Assisting with sales, marketing and PR activities as required

Skills and attributes:
  • Minimum of three years\xe2\x80\x99 experience in a Finance Assistant role is essential in addition to EA/Secretarial/General Administration experience
  • Experience in multi unit accounting
  • Strong numerical and analytical skills
  • Excellent communication skills, high accuracy and acute attention to detail
  • A high level of computer literacy and knowledge of IT systems, including Microsoft Excel
  • A desire to pursue a career in hospitality finance, and to learn on the job
  • Ability to work independently, flexibly and to use own initiative to solve problems proactively
  • Organised and methodical with excellent attention to detail and accuracy
  • Ability to manage workloads, prioritise and work to deadlines
  • Ability to work with complete confidentiality
  • Ability to work as part of a larger team
This role is based primarily in Liverpool City Centre where the company operates several sites and you will also be required to attend a company site in South Liverpool as needed, in addition to new sites as they come online. The chosen candidate will receive a starting rate of \xc2\xa313.50-\xc2\xa315.00 per hour, dependant on experience, which must be demonstrable at interview stage.
