Role Overview
As our business continues to expand, we are seeking a detail-oriented and proactive Financial Assistant to support the finance team in managing day-to-day accounting and administrative tasks. This role is essential to ensuring accurate financial records, timely invoicing, and smooth operations within a fast-paced environment.
The successful candidate will be a strong team player with the initiative to work independently when required. Proficiency in Microsoft Office--particularly Outlook, Word, and Excel--is essential, as well as confidence in using Xero. A willingness to embrace new digital platforms and systems is important, as the company continues its journey toward increased automation and process efficiencies.
We are looking for someone with a strong work ethic, a positive attitude, and a professional and courteous manner when interacting with suppliers and customers.
Responsibilities
Invoice Management
Prepare, process, and reconcile customer invoices, ensuring accuracy and compliance with company policies.
Accounts Payable & Receivable
Track payments through Xero.
Manage supplier invoices and follow up on outstanding balances.
Credit Control
Monitor customer accounts and ensure balances remain within agreed credit limits.
Escalate any concerns as required.
Financial Reporting
Support monthly reporting processes.
Assist with account reconciliations.
Purchase Orders
Verify and process purchase orders for printing materials, consumables, and equipment.
Administrative Support
Maintain financial records and filing systems in an organised and compliant manner.
Cross-Department Collaboration
Work closely with sales, operations, and procurement teams to support smooth financial workflows.
Xero Accounting Duties
Reconcile bank accounts daily/weekly.
Enter and process supplier invoices.
Review and manage purchase orders (POs).
Clear down accounts and ensure ledgers are accurate.
Prepare reconciliation reports for management review.
General Finance Support
Assist with month-end reporting and external/internal audits.
Liaise with suppliers and customers regarding payments and account queries.
Support the finance team with ad-hoc tasks as required.
Requirements
Strong organisational skills with excellent attention to detail.
Basic understanding of accounting principles and financial procedures.
Proficiency in MS Office applications, particularly Excel and Word.
Excellent numerical skills and accuracy in data entry.
Good communication skills, both written and verbal.
Ability to work independently and collaboratively within a team.
Previous experience in a finance or administrative role (required).
A relevant qualification in finance or accounting (advantageous).
