The ideal candidate will be responsible for managing bank reconciliations, accounts payable and receivable, credit control, and financial queries from customers and agents. This role is essential in ensuring smooth cash flow management, accurate records, and timely financial communication across the company.
Key Responsibilities:
Accounts & Reconciliations
Perform daily and monthly bank reconciliations across multiple accounts.
Maintain up-to-date records of accounts payable and receivable, ensuring timely processing of invoices and payments.
Reconcile supplier statements and resolve discrepancies.
Support the Finance Manager with month-end and year-end closing procedures.
Credit Control & Customer Communication
Monitor aged debtor reports and carry out proactive credit control, including sending reminders and making follow-up calls.
Flag overdue accounts and escalate payment issues to the Finance Manager.
Respond to invoice and payment queries from customers and agents efficiently and professionally.
Maintain a positive working relationship with customers while ensuring timely collections.
Email & Inbox Management
Monitor the finance inbox and action emails relating to payments, invoices, queries, and approvals.
Ensure all correspondence is responded to or routed to the appropriate team member in a timely manner.
Factoring & Cashflow Support
Maintain and update the invoice finance (factoring) facility, ensuring eligible invoices are submitted and reconciled.
Liaise with the factoring provider regarding limits, settlements, and reporting.
Support the Finance Manager in cash flow tracking and forecasts.
Petty Cash & Expense Management
Manage the petty cash process, including disbursements, reconciliation, and reporting.
Process staff expense claims and ensure receipts and records are properly maintained.
Month-End Support
Assist the Finance Manager with month-end closing tasks including accruals, prepayments, and journal postings.
Ensure accurate allocation of costs and revenues to the correct accounting periods.
Help prepare schedules and reconciliations for monthly reporting.
Customer Account Support
Assist the Customer Account Manager with customer onboarding.
