About the role
This is a hands-on finance operations role focused on keeping the books clean, invoices accurate, and cash collection moving -- so the business can scale with control. You'll be the only day-to-day finance person, supported by senior leadership and external accountants when needed.
You'll run the finance engine end-to-end: customer invoicing, supplier bills, bank reconciliations, payment runs, and simple reporting. A lot of our processes (invoicing, issuing POs, and workflow triggers) are automated -- your job is to monitor what's running, catch exceptions fast, and feed back clearly to the team on where automation needs tightening to make it more resilient.
It's a detail-heavy, high-pace role. You'll be dealing with lots of small moving parts every day -- supplier queries, customer questions, invoice corrections, missing POs, expenses, and payment approvals -- making sure nothing slips. You'll work closely with operations and sales to ensure what we've delivered is billed correctly and paid on time.
You'll also be expected to prepare the VAT returns, keep the books fully up to date, and upload key outputs into the financial model. For year-end and compliance, you'll prepare the corporation tax pack and supporting schedules for review and filing by external accountants -- your job is to keep the underlying records accurate, consistent, and always ready for reporting.

Key Responsibilities:
Customer invoicing & collections
Handle customer invoice queries professionally and resolve discrepancies fast.
Credit control: track overdue accounts, send reminders, and escalate issues in line with process.
Maintain clean customer records: billing details, PO requirements, contacts, and communication history.
Supplier invoices, expenses & payments
Process supplier invoices and expenses accurately (coding, references, approvals, and supporting documents).
Manage supplier queries: missing invoices, pricing disputes, statements, and payment status updates.
Prepare weekly payment runs and ensure payment approvals are followed.
Keep records tidy for VAT support and audit trail (where applicable).
Cash, bank & controls
Complete regular bank reconciliations and investigate any mismatches.
Maintain visibility on cash position: expected inflows/outflows, upcoming payments, and risks.
Support basic cost control: flag anomalies, duplicates, or spend outside agreed process.
Keep finance folders and files organised so information is easy to find and review.
Reporting & admin support
Support month-end close: make sure invoices, bills, and reconciliations are up to date and correctly posted.
Produce simple weekly/monthly trackers (e.g., aged receivables, aged payables, cash snapshot) using templates.
Work with external accountants by providing clean exports, schedules, and requested documents.
Help improve finance workflows across the business by keeping data clean and consistent.
Quality, compliance & improvement
Follow internal procedures for approvals, record keeping, and reconciliations.
Protect data quality: correct naming, consistent coding, and accurate supporting notes.
Spot recurring issues (e.g., repeat invoice errors, missing info from ops/sales) and suggest fixes.
Identify simple automation/process improvements to increase speed and accuracy (templates, checklists, better data capture, etc.).
Skills & experience
Experience in a similar role (Finance Assistant, Accounts Assistant, Finance Officer, AP/AR) is preferred.
Strong attention to detail -- accurate data entry, correct coding, and clean records.
Comfortable dealing with suppliers and customers by phone and email (clear, professional, and firm when needed).
Highly organised -- able to manage multiple tasks, deadlines, and queries at once.
Solid IT skills -- confident with Excel and able to learn new systems quickly.
Trustworthy and discreet -- comfortable handling sensitive financial information.
A willingness to follow process consistently, while suggesting improvements in the right way.
