Hours: 8.30am to 4pm, Monday to Thursday, 8.30am to 1.30pm Friday (term time only) - 32 Academic weeks per year, plus Inset Days, plus 7 additional weeks (during holiday time) to be allocated by the Finance Manager on agreement. - Location: Yateley, Hampshire
The Finance Administration Assistant will support the Finance Manager in the effective and accurate operation of the school's financial processes. The role involves maintaining financial records, processing invoices and payments, supporting month-end procedures, and responding to internal and external queries. The post holder will be required to work with a high level of organisation, accuracy, and discretion, contributing to the smooth running of the school's finance function.
Key Responsibilities
Fee Invoicing
Set up new customer accounts on Xero and create draft invoices for approval.
Respond to queries from Boroughs and parents regarding invoices and resolving related queries. Manage school accounts on Local Education Authority (LEA) invoicing portals, including uploading invoices, monitoring purchase orders, and liaising with Boroughs to resolve discrepancies.
Debt Collection
Regularly analyse customer and local authority accounts to identify outstanding fees.
Purchase Ledger
Capture and process supplier invoices from various sources, raise and resolve queries, create digital VAT invoices on Xero and submit for approval.
Timesheets and Staff Expenses
Monitor casual staff timesheets and prepare digital invoices on Xero for approval, process staff expense claims through Edupay.
Month-End Processes
Ensure all purchase ledger invoices, timesheets, and staff expenses are captured and approved in preparation for month-end close.
Energy Register
Maintain the school's energy register to support monitoring and analysis of energy consumption.
Census Support
Collate data on fees, bursaries, and staffing to support census and statutory reporting.
General
Provide administrative and financial support to the Finance Manager and, on occasion, the Bursar.
Assist the finance team with ad hoc tasks as required.
Skills, Experience and Personal Qualities
Essential
Excellent organisational skills with the ability to manage multiple tasks effectively.
Previous experience in a finance role.
High level of attention to detail and accuracy.
Ability to handle confidential information with discretion and professionalism.
Good communication skills and the ability to respond to queries calmly and professionally.
Strong time management skills and the ability to meet deadlines.
Desirable
Proficiency in Excel.
Experience of using Xero and Edupay.
