Reporting to the Finance & Business Operations Director, the Business Operations Manager will have a varied role and will be responsible for the management of the Podium Analytics office and Business Administration.
The role will report directly to the Finance and Business Operations Director and will work closely and collaboratively with the CEO and wider team, key external stakeholders, partners and suppliers. The role requires a professional with similar experience within a commercial or not-for-profit organisation. The role is very hand-on and requires a strong 'can-do' attitude, flexibility and proactivity.
This role will be responsible for:
OFFICE MANAGEMENT
Ensuring the office environment is maintained to the highest standard, liaising with Mayfair Estates (Landlord) and managing appointed suppliers.
Ensuring that an excellent level of service is provided to external clients, internal staff and the Board.
Ensuring all statutory operational requirements e.g. health & safety, fire safety and other related procedures are up to date and communicated to staff.
Managing the maintenance of office supplies and equipment.
Manage incoming and outgoing deliveries.
Meeting planning and communication with senior stakeholders and board members.
Travel, logistics planning and itinerary management.
BUSINESS OPERATIONS
Overseeing all business operations activities and providing efficient administration support to the Podium Analytics team.
Maintenance of the company intranet, including policy maintenance.
Organisation, scheduling and communication of team events, briefings and meeting room management.
Act as the secretariat in support of the Director of Research for the Podium Expert Advisory Board.
Organisation, scheduling and communication of key board committee and advisory group meetings.
Manage office subscriptions (journals, research, etc)
HR OPERATIONS
Provide operational HR support to the Finance & Business Operations Director.
Support and liaise with the external HR consultant.
Co-ordination and support of recruitment processes and maintenance of recruitment records.
Management of the onboarding process for new staff and maintenance of associated documentation.
Process all new starter and leaver administration.
Preparation and maintenance of HR policies, processes and guidelines.
Support the implementation and delivery of the equality, diversity and inclusion strategy.
Management of the company performance management system and quarterly review processes.
Management of the company learning management system, including the scheduling of training and development.
FINANCE
Assist Finance and Business Operations Director with the preparation of monthly management accounts
Process invoices, payments and expenses accurately and on time
Support the year-end close
Assist with budgeting and forecasting activities
THE CANDIDATE
The role is very hands-on and the right candidate will thrive off working in an entrepreneurial, growing team and will be excited by the opportunity to pave the way and do things differently.
The role will require a can-do, creative attitude to getting work done, the ability to multi-task, prioritise and time plan effectively, and the intuitive understanding of what it takes to deliver against a broad programme of activity. As an important interface with both internal and external stakeholders, the ability to build effective relationships will be key. Excellent planning, high attention to detail and a focus on high standards of delivery are all essential. You must be able to react quickly to changing circumstances, both using your initiative and taking direction as required.
What we are looking for:
Proven experience in business operations, project management, or a similar role (3-5 years minimum)
Experience as a finance assistant is desirable.
Excellent verbal and written communication skills to effectively collaborate with team members and stakeholders.
Strong numerical and analytical skills
Ability to work independently and as part of a team.
Excellent time management skills and an ability to work under pressure and meet deadlines.
Meticulous attention to detail and problem-solving skills with a well-organised approach to working.
Computer literate, including Microsoft Office suite.
