The post holder will work closely with Wirral Mind's Chief Executive. The person will have a solid background in accounting and administration and will handle cash disbursements, cash receipts, rent tracking, payroll and bank reconciliation. The person will prepare quarterly financial statements and budget reports to the Board of Directors. The person must be able to work well in an office with other staff and must have an awareness and understanding of Mental Health and Diversity.
DUTIES:
Entering all transaction on our accounting software Quickbooks.
Paying the monthly salaries and related Inland Revenue payments liaising with external agents as required. Preparing and posting monthly salaries journal.
Processing monthly BACS payments and maintaining accurate records of authorisation.
Using Quickbooks to undertake monthly reconciliations of the bank accounts.
Maintaining the purchase ledger-entering suppliers' invoices on the system ensuring that they are properly authorised and paid promptly.
Banking of all cheques and cash as required and posting to the accounts.
Prepare invoices as necessary for room bookings, conferences and catering.
Prepare invoices as appropriate to Wirral Borough Council, Wirral PCT and other funders for services provided and grant claims. Controlling all outstanding invoices and ensuring prompt payment.
Prepare and keep up to date all financial monitoring information required by our funders.
Preparing annual budgets in collaboration with senior managers.
Prepare quarterly financial statements.
Arranging contracts for various overhead payments such as Gas, Insurance etc,
Filing all accounting documentation.
Maintaining all financial records and data accurately and securely within agreed systems.
Provide administrative assistance to the Chief Executive.
Attend quarterly finance meetings and provide management accounts and other relevant data.
Attend Board meetings, other member meetings and take minutes.
. Help to prepare the year end accounts with the Company Secretary and provide information to the external auditors when the yearly audit takes place.
Assist in the preparation of the Cyber Essentials accreditation with our IT providers.
Send out thank you letters on behalf of Wirral Mind for donations given.
Pay monthly volunteer's expenses online and in person.
. Reconcile the takings from the Kitchen on a daily basis.
Administer the Petty Cash and reconcile on a monthly basis.
All reasonable associated tasks required by the Chief Executive and other senior managers.
PERSON SPECIFICATION
Essential
At least two years experience book keeping.
Knowledge of computer based accounting systems.
Excellent numeracy and financial awareness.
Good general computer literacy with a good knowledge of Windows, especially Word and Excel.
Attention to detail and accuracy.
Methodical approach and ability to maintain accurate records.
Ability to work to tight deadlines.
Good communication skills.
Ability to work as part of a team.
A willingness to learn new skills as systems and needs develop.
