Purpose of the Role:



To lead, manage and deliver the charity's finance function.

To ensure the availability of the appropriate financial information that supports the decision-making process that then enable the desired charitable and business outcomes and which allows the charity to function as designed and with long term financial viability and sustainability ('a going concern').

To prepare, present and submit the annual accounts in accordance with current procedures, including the charity Statement of Recommended Practice (SORP).

Key Responsibilities:

Financial Management & Reporting:



Owning all aspects of the charity's financial reporting including production of accurate monthly, quarterly and annual financial reports to both internal and external stakeholders.

Preparing the annual audit schedule and acting as the main point of contact for the external auditors.

Preparing and presenting the annual accounts and associated notes; submitting the finalised accounts to auditors in accordance with current accounting procedures including the charity Statement of Recommended Practice (SORP).

Timely submission of annual accounts as required by the Charity Commission for England & Wales and the Office of the Scottish Charity Regulator.

Managing and preparing key account reconciliations, internal & external checks & controls with a particular focus on avoiding/detecting fraud including:

o Week-end cash flow reports.

o Month-end management accounts reporting.

Overseeing:

o Month-end purchase ledger reconciliations

o Bank reconciliations

o Month-end credit card returns & reconciliations.

Accounts System Management:



Internal system owner for AccountsIQ; operating and maintaining the accounting system in a timely manner and in accordance with financial procedures.

Liaison with the Supporter Care Team for the requisite data inputs from the Salesforce CRM system and overseeing the posting of income batches onto AccountsIQ.

Charity Management Support



Acting as lead manager supporting the Council of Management and the Finance & Resources Sub-Committee on all financial matters, including the production of papers and reporting to Council in support of the governance and decision-making process.

Producing financial information to support funding bids, tenders and the generation of new income.

Ensuring the charity complies with legislation and other requirements for the charity's financial operations, including GDPR.

Preparing, maintaining, developing and enforcing appropriate financial policies and procedures, including effective systems of financial control (updating them as necessary and in a timely manner) to ensure financial probity and staff understanding.

Engaging with the Senior Management Team to aid business development in their areas.

Informing business development and fundraising strategies.

Evidencing value for money across all activities and services including analysis of costs and developing potential efficiency measures.

Giving guidance to, mentoring and training staff across the business.

Transactional Activity



Controlling and monitoring income and expenditure, maintaining adequate cash flow, ensuring that all transactions are within formal delegations and supported by appropriate evidence/vouchers.

Accounts Payable: Managing the full supplier lifecycle: from processing invoices, managing queries and running payments.

Accounts Receivable: Taking charge of credit control to ensure healthy cash flow.

Expenses: Overseeing the expenses process.

Overseeing the process for the timely payment of staff salaries; HMRC tax and NIC payments and providing cover for the payroll administrator during periods of absence .

Managing, maintaining and reviewing the assets register for:

o The legacy housing portfolio.

o The charity's vehicle fleet.

Budget Management



Managing the annual financial and budget setting process cycle, leading on annual reviews of budget assumptions; compiling, challenging and reconciling all budgeting and forecasting as part of the 5-year business planning process.

Producing budgets for approval by the Council of Management.

Engaging budget holders to ensure the financial information is informative and understood to assist with their decision making:

o Tracking the financial performance of The Fishermen's Mission against monthly budget forecasts, providing monthly financial reports, forecasts and commentary to Trustees and individual reports to Managers.

o Reviewing and analysing financial reports with the Managers, looking at trends and performance against budget and forecasts, to inform management decisions and the strategic planning process.

Personnel Management:



Line managing, mentoring and overseeing the work of the Finance Administrator (permanent)

Overseeing the work of other staff who contribute to specific elements of the finance function.

Being responsible for personal learning & development and that of line-managed staff.

Providing cover during periods of staff absence.

Skills Required:



Solid technical accounting knowledge and capability underpinned by an appropriate accounting qualification (CIMA, ACCA, ACA or equivalent or 'Qualified by Experience') commensurate to the role and responsibilities described (E).

Ability to lead a small team; working independently, exercising good initiative and judgement (E).

Ability to work collaboratively and maintaining productive working relationships with colleagues and stakeholders (E).

Highly organised, able to effectively time manage and prioritise tasks whilst remaining flexible and adaptable to support evolving needs (E).

High-level of personal integrity when dealing with confidential and sensitive information; ability to work with high levels of tact and discretion (E).

Being results focussed, solution-oriented with a proactive and positive approach (E).

Competence in accounting practices and procedures (E).

Experienced of providing management accounts briefings to senior management (E).

Excellent due diligence and attention to detail (E).

A good understanding of the principles underpinning financial planning and of demonstrating impact and value for money (E).

Competent with electronic communications and office administration IT applications, including Windows software (MS Office - with strong Excel skills in particular) and other applications (E).

Good written, verbal communication and presentational skills (D).

Person Specification:



A hands-on finance professional;

Proven experience as a Finance Manager or similar senior level / management of accounts role fulfilling the role criteria as described (E).

Preferably, but not essentially, in a charity (D).

Knowledge of the Charities Statement of Recommended Practice (SORP) (D).

Hands-on experience of, and complete confidence in using, Accounts IQ (or similar) accounting software (E).

Highly organised with meticulous attention to detail (E).

A proactive, "can-do" attitude and the ability to work independently (E).

Personal commitment to the core values of the Fishermen's Mission (E).

Willingness to work in accordance with the policies, procedures, guidelines, codes of conduct and Christian ethos of the Fishermen's Mission (E).

Appreciation of the importance of confidentiality and anti-discriminatory practice and equality and diversity; safe practice and health and safety procedures; and their application in practice (E).
