Purpose of the Role



The Finance Officer plays a vital role in supporting the delivery of safe, sustainable supported housing services by ensuring strong financial control, transparency, and accountability within our Operating System. Working closely with operational and support teams, the Finance Officer will provide accurate and timely financial information that enables effective decision-making and helps ensure resources are used efficiently to support residents and maintain services. This includes responsibility for rent and service charge income, budget monitoring across services, cashflow management, and compliance with funder, regulator, and statutory financial requirements.

Within our operating framework, the Finance Officer contributes primarily to the data, processes and traction componentsby owning key financial scorecard measures, supporting quarterly finance objectives, and maintaining clear, consistent financial processes that are followed across the organisation. The role involves working collaboratively with Service Managers and senior leaders to monitor financial performance, explain variances, identify risks such as arrears or void impacts, and support problem-solving. By maintaining strong financial governance and clear financial insight, the Finance Officer helps ensure the organisation remains financially resilient and able to continue delivering high-quality supported housing and support services to vulnerable residents.

Key Responsibilities



Complete rent reconciliation, ensuring all rental income is accurately recorded and discrepancies are promptly investigated. Proactively chasing Housing Benefit payments, liaising with local authorities and third-party agencies. Support the Directors with reviewing, updating, and improving finance policies, procedures, audit requirements and best practice. Ensure all company charge card spending is properly authorised, recorded correctly, and reconciled to monthly statements. Complete weekly bank reconciliations, ensuring bank balances match the accounting system for Director review. Process staff expense claims, ensuring they meet finance policy requirements and are paid accurately and on time. Maintain daily bookkeeping and accurate updating of accounts. Produce profit and loss reports using QuickBooks, supporting senior management with financial oversight. Monitor expenditure control and support budget tracking to ensure effective cost management. Prepare and maintain financial records, with a clear understanding of balance sheets, forecasts, and financial predictions. Prepare payroll information, ensuring accuracy and timely submission. Process and monitor high-value purchasing, ensuring appropriate authorisation and financial controls are followed. Support Management with grant funding applications, ensuring accurate cost tracking and audit trails for funded projects. Support the timely submission of statutory accounts and corporation tax, working alongside Directors and external accountants.
General

1. Engage fully in regular reviews with your line manager.

2. To notify Line Manager of planned whereabouts and to submit accurate records of timekeeping monthly.

3. Adhere to Safeguarding, Health and Safety policies and procedures at all times and comply with legislation and statutory duties and data controls protocols.

4. Act in line with, promote and carry out all responsibilities with full regard to Pegasus Supported Housing Equality and Diversity Policy.

5. To maintain confidentiality at all times, in accordance with the agreed policy.

6. Ensure individual expertise and subject area knowledge is up to date through Continuous Personal Development, including sharing good practice, engaging with training and acquiring / maintaining any individual qualifications required for the role.

7. Any other duties as required.

Essential Criteria



Experience in a finance or bookkeeping role Strong working knowledge of QuickBooks Confident in rent reconciliation and income tracking Good understanding of profit and loss, balance sheets, and budgeting Excellent attention to detail and organisational skills Ability to work independently and manage competing priorities Strong communication skills, particularly when liaising with external agencies Competent in Microsoft Excel and financial spreadsheets

Desirable Criteria



Experience working within supported housing, social housing, or the care sector Knowledge of Housing Benefit and local authority processes AAT qualification or working towards a finance qualification Experience supporting audits or year-end accounts
