Job Description

Newport Pagnell Youth Club Pre-School has been providing an excellent standard of early years care and education in Newport Pagnell since 1972 for children aged 2.5 yrs - 4 yrs old. As the only Ofsted rated Outstanding provider in Newport Pagnell, we pride ourselves on our carefully planned curriculum, which we tailor to the individual needs of each child, to ensure all our children feel happy, safe and ready to learn.

We are looking for a financial administrator to support the work of the pre-school.

This will be a part time role to be worked remotely, with occasional visits to the pre-school as needed. The number of working hours will vary each month but we anticipate the average will be 10 hours per month. The hourly rate of pay will be 12.21 per hour.

Main Tasks



Set up new parent details on accounting system Produce invoices on a half termly basis and issue to parents by email Update manager and treasurer about non-payments, potential payment plans and fines if required Communicate with parents regarding queries and childcare vouchers/tax-free childcare payments

Bookkeeping



Process payment for equipment, resources and invoices Organise payment authorisations Deal with suppliers as and when required Reconcile bank statements with accounts

Financial Information



Provide financial information as requested by committee Maintain records of income and expenditure, send P&L reports to the Chair and Treasurer as and when required Assist in the production of an annual budget and forecasts, give advice if required

Charities Commission & Year End Accounts



Liaise with accountant to produce an independent examination of the accounts Work with Chair to file the end of year accounts with Charities Commission Produce an AGM report with the Treasurer detailing income/expenditure over the year including the final profit/deficit

Other



Manage insurance renewals, memberships ensuring payments are made and paperwork is kept Process confidential information in line with GDPR Send new staff details and other changes to accountant for payroll processing Maintain regular contact with the manager to collect post etc Support the manager as and when required with council funding administration
