Job Description

An Independent Financial Adviser based in Diss, IP22 4GT is actively seeking a new PA/Office Administrator. You will be reporting directly to the Director, where you will be working on all aspects of new and existing clients.

This is a wide and varied role, with many competing tasks and demands. The ability to prioritise tasks and work under pressure is essential.

Your role will include...

Answer and screen all incoming phone calls

Collect post

Sort and Scan Post to client records or company accounts

Save recorded calls to client accounts

Action annual reviews, prepare reports for meetings.

Send document links to clients and chase for action and follow ups esign and annual reviews

Prepare all necessary documentation for client meetings,

Compile several clients reports including portfolio reports and annual review letters

Research client products and investigate providers.

Produce illustrations write application forms, obtain all necessary forms from providers

Process all business through to completion both, new, existing and top business.

Rebalance portfolios in line with client agreed outcomes.

Phone and chase providers for information

Put together review files, including attitude to risk and performance reports.

Process all provider income statements both paper and electronic

Produce fee statements.

Write reports and letter to clients on all aspects that affect their account.

Action customer requests

Investigate and Interrogate multiple websites for data collection, manipulation and reporting

Produce compliance reports for meetings.

Action client requests within scope of training and competence

Produce, write the quarterly letter for the mailshot magazine, stuff and post

Keep client notes up to date.

Keep clients annual review diary system up to date

Keep client files both paper and online up to date

Process all withdrawals, contributions and alterations for clients and update the online and paper systems

Assist in the regulatory reporting requirements

Use Office 365 to streamline processing and communication both internally and externally. Use various AI systems to enchance work flow and generate client reports and analysis.

Request information from providers and clients to help process client files

Write the weekly social media posts and monthly email newsletter letter - articles are pre-written and taken from our inhouse magazine.

Scan all documents to client files

Arrange and Save down recorded teams meetings, phone calls and transcribe meeting notes

Attend training sessions and offsite product and compliance meetings

Ensure the internal back office remains up to date and links with providers for data gathering and reporting are maintained

Ensure the office is stocked with all supplies, e.g printer supplies, comp slips, paper, stamps and postage, staples and electronic systems work.

Attend weekly and monthly meetings

Input into streamlining office functions

Maintain all company office files, e.g compliance, training, governance

Working hours are 9am to 3pm Monday - Wednesday - Friday. Hours and days can be flexible for the right candidate. With additional hours and overtime available.

Based on the part-time salary of 12,960 its equivalent to the full-time (40hrs) pro-rata salary of 28,800
