About The Role








As part of the ongoing development of the fleet department we are seeking a fleet administrator to join our team. The successful candidate will be based at our Leeds office and report to the Fleet Manager.






In this role, you'll work closely with our Fleet Manager, assisting with day-to-day queries, maintaining our fleet database, managing aspects of the vehicle fleet and ensuring our reporting is accurate and timely.






Duties and Responsibilities






+ Assisting the fleet manager in maintaining compliance across a varied fleet of vehicles within the UK & Ireland. + Using a variety of software packages, such as Microsoft Word, Outlook, Excel
+ Assisting in compiling monthly reports for managers and directors.
+ Updating own fleet driver system to reduce non-conformities.
+ Issuing drivers packs, fine notifications and ensuring RFL is valid
+ Controlling vehicle movements across the business to ensure compliance and utilisation are maintained.
+ Fine administration and dealing with driver/manager fleet queries
+ Various tasks including but not limited to MOT & Service Reminders, ordering of fuel cards. Vehicle hires
+ Responsible for managing the shared fleet mailbox for all incoming enquiries.
+ Maintain the Motor Insurance Database (MID) ensure that all new hires are added and off hires are removed.
+ Maintain the DART (Dartford Charge) and TFL (Transport for London) accounts.
+ Managing vehicle telematics, completing adhoc reports for regional Operation Managers.
+ Respond to company car driver enquiries, coordinating vehicle movements and replacements.
+ Manage the fuel card system adding all new cards received, and removing cards for vehicles off hired.
+ System Reconciliation Complete weekly reconciliations for cross hire vehicles; suppliers, DART, TFL, MID and system reports.
Qualifications and Skills






+ Previous fleet management experience is preferred but not essential + GCSE English & Maths grades A - C or equivalent
+ Experienced administrator with accurate keyboard skills and excellent attention to detail
+ Ability to quickly adapt to changing priorities
+ Well organised with the ability to work to tight deadlines
+ Able to work cooperatively within a team as well as on own initiative
+ Experience of communicating at all levels within an organisation using a variety of methods Understanding of GDPR
+ Knowledge of transport legislation such as Road Traffic Act, is desirable
