Provide day?to?day administrative and logistical support to ensure BELFOR?UK's national fleet is fully compliant, cost?effective, and operationally available. Acting as the primary liaison with our external fleet?management partner (SFM), drivers, and internal teams, you will maintain accurate fleet data, coordinate maintenance schedules, and generate timely reports for the Fleet Manager.
Key Responsibilities
1. Administration & Data Management
Maintain the vehicle asset database; update acquisitions, disposals, and driver allocations.
Ensure BELFOR vehicle compliance by oversight and check on the SFM (MOT certificates, insurance MID, V5Cs, P11D data).
Ensure telematics is operating and all salient data is being regularly updated (such as mileage)
2. Maintenance Coordination
Educate and oversee Regional administration teams to ensure they facilitate the assignment and return of vehicles, procure Smart Repairs and carry out periodic inspections.
Monitor progress of VOR, ensure vehicles are returned to service swiftly and chase problematic issues to resolution
Address exceptions to policy such as non-substantiated short?term rental.
3. Compliance & Driver Records
Monitor to ensure regular driving licence checks and maintain grey?fleet declarations.
Support the Fleet Manager in internal and external compliance audits.
4. Incident & Claim Handling
Monitor the SFM and/or Accident Management company to mitigate the costs arising from vehicle incidents and accidents.
Monitor Claim reportage times with the objective of BELFOR reporting all claims within 24?hours of an incident.
5. Fuel & Cost Control Support
Reconcile fuel card transactions against mileage data; flag anomalies for investigation.
Assist the Fleet Manager in validating supplier invoices and resolving discrepancies.
6. Reporting
Provide a weekly update to the Fleet Manager to provide actionable insight.
7. Supplier Liaison
Serve as the day?to?day contact for the SFM freeing the FM up to focus on tactical and strategic matters.
Track vehicle deliveries, collections, and authorisation requests; escalate issues as needed to help the FM achieve timely and smooth mobilisations.
8. Continuous Improvement
Support fleet projects.
Identify process improvements and contribute to standard operating procedures.
Key Skills & Experience Essential
Experience in administrative support, ideally within a fleet, logistics, or automotive environment.
Strong IT proficiency, including MS Excel and fleet/telematics software.
Excellent attention to detail and data accuracy.
Effective communicator across all levels (drivers, suppliers, management).
Ability to prioritise workloads and meet tight deadlines in a fast?moving environment.
Desirable
Working knowledge of UK vehicle compliance requirements (MOT, tax, insurance).
Full UK driving licence.
