Job Description

We have an exciting opportunity for an experienced, confident Vehicle Fleet Sales Coordinator to join our fast-paced Fleet Department based at our Coventry Kia Main Dealership.

Role Overview

The Fleet Sales Coordinator plays a key role in supporting the fleet sales operation within the business. The role involves coordinating fleet orders from order point through to delivery, providing high levels of customer service, and supporting Fleet Sales Executives with administration, pricing, and order management. This position requires strong organisational skills, attention to detail, and excellent communication with customers, suppliers, and internal departments.

Key Responsibilities

Fleet Sales Support:

Support Fleet Sales Executives with day-to-day administration and coordination of fleet sales. Process orders accurately and efficiently. Liaise with manufacturers and leasing companies.

Order & Delivery Management:

Manage vehicle orders from confirmation through to registration and delivery. Coordinate vehicle build status, lead times, and delivery schedules. Ensure all documentation is completed accurately, including order forms, finance paperwork, and compliance documents. Liaise with the preparation, logistics, and handover teams to ensure timely deliveries.

Customer Service:

Act as a key point of contact for fleet customers, providing regular updates and professional support. Handle customer queries efficiently and resolve issues where possible. Maintain strong relationships with corporate, SME, and local business customers.

Administration & Reporting

Maintain accurate records on CRM and dealer management systems. Prepare fleet sales reports, order trackers, and pipeline updates. Ensure compliance with manufacturer, FCA (if applicable), and company policies.

Skills & Experience

Essential:

Experience in the motor trade, fleet sales, or automotive administration. Strong organisational and time management skills. Excellent attention to detail and accuracy. Confident communicator with customers and internal teams. Competent with IT systems, CRM, and Microsoft Office.

Desirable:

Previous experience in fleet, leasing, or business-to-business vehicle sales. Knowledge of funding methods (contract hire, finance lease, outright purchase). Understanding of vehicle specifications, build processes, and registrations. FCA accreditation or willingness to work towards it.

Working Monday to Friday 8.30am - 5pm with NO WEEKENDS !
