As an Administrator, you will initially serve in a supporting capacity. However, this position anticipates the scope to influence the trajectory of the company and grow accordingly. The founders are looking for a key third-leg to the company's DNA.



encountr is seeking a full-time administrator to support leadership and a growing team. In this role, you will be responsible for

Executive Assistant functions - Leadership is largely self-sufficient, however the Administrator will be expected to have access to and support in the following areas:*
Schedules Phones & Correspondence Filing CRM management Project management functions - Project Management will be a central part of this role; agility, detail orientation and speed with software and coordination is key.*
PM software tracking Identifying bottlenecks Task and deadline tracking Marketing functions - Agility and speed must be complemented by time for development and learning; the Administrator will be central to supporting Leadership in this, but also to focus on development at key milestones during employment.*
Posting to social media Maintaining the website / portals Identifying key press/news for leadership to read/investigate Newsletter / mail-outs / invitations
This position will come with initial training, but the agility of the wider business means feedback and changing is key.

KPIs will be set for the wider team, with above-target performance bonuses to be set up in Y3.

There is scope within this role to become a full Project Manager or future Sales/Team lead.

This role will work directly with the Co-founders and eventually with Business Leads.

Duties and Responsibilities



Immediate Responsibilities: Oversee the project management of encountr Leadership and Future teams (up to 5 employees by end of Y2) Coordinate with advisors and companies on marketing, both external and internal (e.g. social media, engagement, blogs, interviews v. designing gifts, invitations, etc.) Source and coordinate IT services, phones, subscriptions etc. Identify opportunities for improvement of services/subscriptions and new market opportunities. Manage the lifecycle of event coordination alongside Event management teams, from conception to execution. Collaborate with stakeholders / partners / service providers. Understand and serve our customers and prospects. Represent the company at networking events and internal events where required (including some evenings and week-ends). Future Responsibilities: Determine prioritization of different features of the company. Conduct competitive and market analysis bi-annually. Determine and help monitor the company's success by tracking KPIs. Become a thought-leader in the industry in support of encountr. Serve as a mentor and ally to the wider team to help them grow through your contributions.

Required Experience/Skills



Willingness to learn, ambition to grow, and an agile mindset. Positive, organized leader able to collaborate and influence others. 2+ years of experience in administration, executive assistant roles or project management, preferably with a focus on hospitality, wine, dining and/or luxury. Experience in/with the service industry. Proficiency (or willingness to learn) relevant Project Management software, Google Services, Website Development, Marketing Skills, SEO, etc. Ability to form relationships outside of the internal team, and to cultivate new business over time.

Nice-to-Haves



Interest in wine, gastronomy, art, luxury, fashion. An existing network of thought-leaders, customers, partners. An existing network of service providers, preferred systems.

Education



BA required Technical training may be considered in lieu of degree
