Job Description

Our Chelsea Clinic is a highly specialised outpatient and day clinic treating privately-funded adults, adolescents and children with eating disorders, anxiety and depression.We are currently looking for high calibre individuals who can combine administrative expertise, analytical capabilities, and a caring mentality to join our Chelsea Clinic.PRINCIPAL DUTIES

  • To provide an efficient, effective and professional administrative support service to the Clinic
  • To provide efficient secretarial support to the clinic and Consultants on a daily basis
  • Assist the FOH/Administration Lead with day to day requests and deadlines
  • Meeting and greeting patient, visitors, consultants and staff at reception, and acting as the main point of contact for any enquiries
  • Sending clinic and lists to relevant consultant
  • Daily sorting incoming post
  • Taking telephone calls, directing patient queries to the relevant consultant and taking messages
  • Checking voicemails regularly and directing messages to the relevant individuals
  • Booking/amending patient clinic appointments
  • Chasing up test results
  • Scanning of relevant documentation onto the system
  • Printing and posting, and emailing clinic letters
  • Updating systems with details from patient registration forms
Financial Management
  • Taking debit/credit card payments from patients
  • Raising invoices/Submitting invoices to insurance companies and group accounts
  • Processing payments/Reconciling payments/Remittance advices
  • Monitoring group accounts
  • Ensure timely procurement of clinic supplies
Secretarial Duties
  • Preparing and formatting clinical reports/letters for consultants
  • Scanning and uploading relevant documentation in the system
  • Managing multiple clinical agendas with the admin team
  • Managing complex enquiries via telephone and email
  • Booking appointments and treatment programmes into Patient Management System (digital system)
  • General filing and office organisation
  • Liaising with patients to provide first port of contact for all enquiries
  • Telephone cover/message service
  • Regularly assessing working practices to identify possible improvements and improve efficiency
Quality Assurance
  • Alert other team members to issues of quality and risk,
  • Effectively manage own time, workload and resources.
  • Reflect upon own performance and take accountability for own actions, either directly or under supervision.
  • Strong understanding and respect for confidentiality
  • Experience as an administrator and working in a team oriented office environment
  • Excellent interpersonal skills
  • Excellent verbal and written communication skills
  • Excellent telephone manner
  • Highly proficient in Microsoft Office (PowerPoint, Excel and Word) and other systems
  • Self-motivated and self-starter with the ability to prioritise and schedule work independently
  • Highly organised, detail-oriented and analytical
  • Flexible in terms of working times and responsibilities e.g., out of hours work may be required with due notice.
  • Maintains a professional conduct at all times, remaining calm and in control
