We have an exciting opportunity to become our Front of House Administrator. You will provide a professional and efficient reception service for the Paul Smith Nottingham Head Office and will assist the Global Health and Safety Manager with all administrative duties related to Health, Safety and Facilities.

The Role



Answer and screen all incoming calls promptly, courteously and efficiently and deliver any messages to the appropriate person.

Welcome all visitors and be their first point of contact. Ensure visitors are correctly signed in and issued with a visitor badge and escort them to the appropriate office or meeting room.

Book meeting rooms, maintain the meeting room diaries and provide refreshments.

Open and sort all incoming mail, sign for any incoming parcels and notify recipients. Ensure all out-going mail is sorted and prepared for collection.

Provide administrative support and assistance to the Global Health and Safety Manager / Department.

Manage administration of the Health and Safety management system and training schedule. Organise and book training courses with external service providers.

Manage the reception and health and safety inboxes daily and ensure all queries are actioned in a timely manner.

Ensure that the reception area, meeting rooms, mail room and stationery cupboard are clean, tidy and presentable at all times.

Order stationery, kitchen, sanitary and first aid supplies and maintain stock levels across the offices and warehouse.

Your Skills and Experience



Experience in Reception duties, including switchboards.

Advance user of Microsoft Office suite.

Excellent administrative experience.

Proficient at customer service.

Excellent telephone manner.

Highly tuned interpersonal skills.
