Job role: Front of House Team Member (Hospitality)

Hours: Monday to Friday \xe2\x80\x93 shift rota basis between 8.00 am \xe2\x80\x93 6.30pm

Role overview

Introduction to the role:

The role of the Front of House assistant is to ensure that you provide the highest level of client care and personal service to all visitors, clients and our people within Hill Dickinson.

Introduction to the team:

The front of house team are the face of Hill Dickinson and offer outstanding events and impeccable client service to visitors and colleagues. You will be joining a team who have won awards for their hard work, commitment, friendliness and overall client service. Being part of the team offers an opportunity to meet new people and to be a part of a team delivering successful meetings and events for our clients.

Key responsibilities:
  • Ensure that all meeting room bookings / queries / changes and requests for the day (especially relating to hospitality) are dealt with promptly and in a courteous manner. Report any issues to a team leader / line manager immediately.
  • Coordinate with your front of house colleagues in regard to last minute requests / changes to ensure the smooth operation of catering within the business
  • Setting up for client meetings and events with refreshments and delivering business lunches as per report while demonstrating a keen attention to detail to all elements of service and presentation.
  • Communicate all food & beverage changes to the relevant people promptly.
  • Carry out regular meeting rooms checks making sure that they are tidy and clean at all times along with reception area.
  • Support reception when business requires \xe2\x80\x93 early shift, late shift, holidays, breaks, busy periods.
  • Ensure housekeeping and maintenance issues are logged / reported and discuss any issues with your line manager.
  • Undertake a stock take on request to assess stock levels
  • Receive and welcome visitors, liaising with Hill Dickinson hosts and offering hospitality as directed.
  • Answer and redirect all calls on switchboard (both internal and external) as per the Hill Dickinson Telephone Standard
  • Maintain visitor log and issue visitor passes
  • Support and coordinate meetings, conference calls, legal hearings, events, training sessions and arrange and deliver catering where required while demonstrating a keen attention to detail to all elements of service and presentation
  • Load and unload the dishwasher on a daily basis.
  • Maintain the kitchen area, ensuring all stocks are kept tidily, ensuring a clean and hygienic storage area.
  • Adhere to strict uniform guidelines and present a professional image of the firm at all times whilst maintaining a friendly and helpful manner when dealing with clients, potential clients, stakeholders and colleagues
  • Record and maintain fridge and food temps and cleaning records.
  • Actively and positively engage with colleagues, clients and other stakeholders to ensure a seamless service experience.
  • Anticipate client needs and follow up to ensure that client expectations are met and where possible exceeded.Take ownership and responsibility ensuring you are working effectively and developing close relationships with your colleagues.
  • Provide operational support to colleague\xe2\x80\x99s and team to ensure service levels are maintained during peak periods. Remaining flexible at all times
  • Be aware of relevant legislation to include health & safety.
  • Any other reasonable task / duty instructed by line manager
  • Act as fire marshal and first aider for client facing areas (training will be provided)
  • Keep to the front of house service level agreement at all times to deliver the best possible client care
What we are looking for

Essential:
  • Previous experience in a similar role
  • Excellent communication and telephony skills.
  • Well practised organisational skills including the ability to prioritise
  • Proficient listening skills.
  • Ability to work with computerized front of house systems
  • Able to work well under pressure
  • The ability to work as part of a team
  • The ability to work under their own initiative
  • A calm and professional manner
  • Flexibility in approach and willingness to work outside of normal hours if business needs dictate.
  • Fluent in English both verbal and written \xe2\x80\x93 email communication in particular.
Desirable:
  • A minimum of 6 months\xe2\x80\x99 previous experience working in a customer service environment
  • Food safety level 2 desirable.
