This is a very busy, demanding and varied role in a GP practice based in Mile Oak, Portslade with over 8,700 registered patients.

We are looking for a dynamic person to lead our front office team in delivering outstanding patient care. The successful candidate will be responsible for managing the daily operations of the reception area, ensuring efficient workflow, and maintaining high standards of service. This role requires strong leadership skills, experience in a GP practice, and proficiency with SystmOne clinical system

Key Responsibilities:



Leadership & Management:

Oversee the day-to-day operations of the front office team, ensuring smooth workflows, excellent patient service, and high team morale. Acting as a hands-on troubleshooter where required.

Patient-Focused Care:

Be the primary point of contact for patient inquiries, ensuring all patients are greeted and assisted with professionalism and care.

Appointment & Workflow Management:

Expertly manage the appointment system, ensuring efficient patient flow and timely service. ensure all objectives & tasks are carried out efficiently & on time by the front office team

Staff Development:

Lead, train, and support the front office staff, fostering a culture of continuous improvement and teamwork.

IT & Admin Expertise:

Utilise and oversee systems like SystmOne, ensuring data accuracy and efficient processing of patient information. Oversee and manage all administrative tasks completed by the reception team such as the emails, issuing of patient prescriptions, the upkeep of notice boards and receipt of incoming deliveries

Collaboration:

Work closely with the Assistant Practice Manager, clinical teams, and external partners, ensuring all updates and processes are smoothly communicated and implemented.

Quality Control:

Maintain high standards of patient service, managing feedback, and continuously improving procedures.

Deal with complaints:

Be the first point of contact for any complaints that come into the surgery and try to resolve before escalation to the Practice Manager

Oversee premises:

Patient areas such as reception, waiting room, consulting rooms & corridors

What We're Looking For:



Leadership Experience:

A proven track record in a leadership role, ideally in a GP practice or healthcare setting.

GP Reception Experience:

At least 3 years of experience as a GP receptionist, with a deep understanding of practice operations and patient care.

SystmOne & IT Proficiency:

Strong hands-on experience with the SystmOne clinical system and other relevant IT systems.

People Skills:

An approachable, calm, and reliable individual who thrives in a team environment and can maintain composure under pressure.

Problem-Solving:

The ability to adapt quickly and make sound decisions, especially in busy and challenging situations.

Flexibility:

A willingness to cover shifts and adapt to changing schedules when necessary.
We are offering 25-37 hours per week spread over a number of days and sessions to be discussed with the successful candidate.

We are open from 8am to 6pm Monday to Friday. (Some flexibility to provide occasional additional cover would be essential to this role.)

Starting salary 13.21 ph. NHS Pension
