We have a fantastic opportunity for a Front Office Workplace Host to join our expanding Global Occupier Services team based at our C&W offices, 125 Old Broad Street, London.


We are looking for a dedicated, personable Host to deliver a First-Class workplace experience to our internal colleagues. Helping to create and maintain a safe friendly workplace and being a reliable go to person, liaising with all colleagues and contract partners.

Key Responsibilities:



Meet and greet all external clients Manage the reception mailbox, to ensure all requests are delt with in a timely manner Manage booking system (Resource Schedular), ensure we have the best use of the meeting rooms Make sure the event space is set up for the next event in the correct layout Conduct walkarounds of all meeting rooms throughout the day, liaising with the catering team to ensure the rooms are always ready for use. Create a good working relationship with the catering team, ensuring all catering requests are fulfilled, ensuring catering menus are up to date. Report any maintenance issues and liaising with the onsite engineer. Maintain clear communication by attending operational meetings and liaising with the wider team. Adhere to Health, Safety, and Environmental policies, promoting a safe working environment. Build and sustain strong, positive relationships with clients, customers, and vendors to ensure exceptional customer service. Ensure that all signage and artwork are on-brand and compliant, swiftly addressing any non-conformities. To be flexible in assisting in response to customer and business needs To report for work in good time and ready to commence at your rotated start time Conduct daily walk arounds logging any faults or issues with the London Facilities Helpdesk. Track & manage all open jobs on FAMIS through to final completion. Quality check paperwork to ensure compliance and audit satisfaction. Ensure all systems are maintained and updated to ensure we remain compliant. Understand escalation process both on client and C&W side for reporting all operational and risk issues. Look to drive sustainability performance and gain an understanding to advise our team and stakeholders. Day to day interaction with contractors and 3rd party suppliers, to enable delivery of service. Support Workplace on wider project management & ad hoc tasks

Ensure all contractors are inducted into the building before works start. To support where required to manage the process for of all incoming internal and external mail and parcels and arrange same day and overnight couriers. Undertake any additional duties or responsibilities that are deemed required by the business in supporting the daily operation of the contract. To escalate any service failures by suppliers on site. Responsibility for ensuring a safe working environment within the Front of House area and ensuring any issues are reported promptly and accurately. Various other admin tasks.

Shows initiative in identifying, recommending and pursuing new opportunities.

Knowledge



Solid educational background Customer service background essential IT Skills, Outlook, Excel, Word.

Skill and Experience



Be able to perform in a fast-paced environment Experience in a customer facing environment would be essential Key base experience is customer focus and empathy Excellent communicator at all levels. Polite and confident telephone manner. Ability to multi-task and work under pressure. Team player - Ability to work alone or as part of a team Ability to prioritise workload and manage change effectively Attention to detail
