Hours: Part-time, 3 days per week in the Fundraising Office or supporting events



Reporting to: Head of Fundraising and Communications



The Fundraising Administrator will provide administrative and operational support to the Fundraising Team, playing a vital role in maintaining accurate donor records, processing income, and ensuring excellent supporter care. This role will work alongside the Head of Fundraising and Communications and the Community Fundraiser, so it sits at the heart of our commitment to compassionate, professional supporter care and upholds the values of the Priscilla Bacon Hospice Charity.

The successful candidate will contribute to the Charity's income generation and donor stewardship, helping to grow long-term relationships with supporters and stakeholders, enabling the Charity to continue to enhance care at Priscilla Bacon Lodge.

Key Responsibilities:



Fundraising Administration:



Maintain and update Beacon, the fundraising CRM, ensuring accuracy and data integrity. Process donations, issue receipts and send thank you letters promptly and professionally. Adhere to internal protocols for fundraising enquiries, supporter communications, and acknowledgement processes.

Financial and Data Reporting:



Work with the Finance Team to reconcile income records and ensure timely bank deposits and income coding. Run regular reports on donations, income streams, and supporter trends from Beacon. Support Gift Aid processing and reporting in line with HMRC requirements. Contribute to financial reporting for online platforms such as JustGiving, MuchLoved and Memory Giving.

Donor Stewardship and Supporter Care:



Act as a first point of contact for donor queries via phone, email, and post, providing timely and courteous responses. Support relationship building with donors, fundraisers, and community groups through consistent, high-quality communications. Assist with supporter mailings. Support the administration of fundraising appeals, campaigns, events, and community fundraising activities. Prepare and dispatch fundraising packs, merchandise (e.g. T-shirts, leaflets), and certificates for event participants. Help deliver thoughtful donor care, with good luck cards, thank you messages, and phone calls to enhance supporter journeys.

Event and Campaign Support:



Provide logistical and administrative support for fundraising events and campaigns. Coordinate event communications, registrations, materials, and post-event follow-ups. Maintain event guest lists and help manage supplier communications when required. Provide stewardship to "in aid of" event organisers and third-party fundraisers. Support the coordination of auction or raffle prizes and maintain records of donated goods. Assist in volunteer coordination related to events or campaigns when needed. Attend selected events to support delivery and act as an ambassador for the Charity.

Compliance and Best Practice:



Ensure all fundraising activities comply with GDPR and Fundraising Regulator standards. Maintain up-to-date knowledge of data protection, charity fundraising best practice, and internal policies. Ensure CRM records are accurately maintained in line with GDPR.

Person Specification:



Essential Qualifications/Experience:



Previous experience in an administrative or customer service role, ideally within a fundraising, marketing, or charitable environment. Experience in using CRM systems including managing, updating and reporting on data, and expertise with Microsoft Office (particularly Excel and Word). Experience in handling financial transactions or income processing. Willingness to occasionally work evenings or weekends to support fundraising events. Time off in lieu (TOIL) will be provided, in line with the Charity's TOIL policy.

Skills and Competencies:



Strong organisational skills with a high level of accuracy and attention to detail. Excellent written and verbal communication skills. Friendly and professional manner, with strong interpersonal skills. Ability to manage multiple tasks and deadlines with minimal supervision. High level of discretion and ability to handle sensitive donor information. A proactive, can-do attitude and willingness to support the wider Fundraising Team. Ability to work flexibly and collaboratively in a fast-paced team environment. Creative problem-solver with initiative and emotional intelligence when dealing with supporter needs.

Desirable:



Experience working with Fundraising CRM systems (e.g., Beacon, Donorfy, Raiser's Edge, Salesforce, or similar). Knowledge of charity fundraising practices and Gift Aid. Passion for hospice care and the ethos of Priscilla Bacon Hospice Charity. Understanding of, or interest in community fundraising, third party events, or supporter-led initiatives. Experience working with or supporting volunteers.
