Join the Ark Fire Protection Team as an Office Administrator!


Are you organized, detail-oriented, and eager to contribute to a growing company? Ark Fire Protection is seeking a motivated Office Administrator to join our team in Peterborough to provide support to our growing administration team.

Role Responsibilities



Placing materials and stock orders with suppliers and monitoring deliveries Logging enquiries and distributing out to relevant departments Setting up new tender folders and documents for quotations Data entry in to spreadsheets and reports Assigning and sending out training links to subcontractors Raising and checking invoices Using multiple CRM systems Managing fleet vehicles (services, MOTs, maintenance etc) Booking travel requirements including vehicle hires, train travel, fight tickets Arranging and booking accommodation Arranging access on site for deliveries Input subject knowledge to tenders/PQQs as required Maintain accurate records and feedback for reporting and analysis purposes. Answer and manage incoming calls. Oversee your own inbox as well as multiple shared mailboxes. Checking invoices against orders raised and posting them off. Booking travel, hotels, vehicle maintenance appointments etc Assist in scheduling appointments and meetings. Prepare reports and documents. Provide general administrative support. Maintain trusting relationships with suppliers, customers and colleagues by performing tasks with integrity and honesty. Perform other duties as assigned by senior management.

Requirements



Strong organizational and time management skills Proficient in Microsoft Office (Word, Excel) Excellent communication and interpersonal abilities Attention to detail and ability to multitask Flexibility to adapt to changing needs, as well as working individually or as part of a team
Exceptional customer services skills are a must, you'll be liaising with customers, clients and suppliers by phone, email and face to face. You'll be a well presented, approachable and professional.

The role is office-based, Monday to Friday, 08:00 - 17:00 in Peterborough.

Salary Starting from 22,500 (dependent upon experience)



Salary will be discussed with each candidate and will be set dependant on experience and qualifications.
