Job Description

We are currently seeking a dedicated Golf Club Secretary and Membership Manager

The Golf Secretary and Membership Manager at Vale Royal Abbey will oversee the golf administrative operations of the Club, including assisting in managing the VRA Membership database, coordinating Club events, and ensuring excellent service to all Members and guests. This role requires a detail-oriented individual with strong organisational and communication skills to maintain and enhance the Club's golf operations and Member satisfaction, while adhering to the Vale Royal Abbey Constitution, Rules and Register of Duties. The role also involves liaising with Cheshire Union of Golf Clubs (CUGC), England Golf and ensuring compliance with the World Handicap System (WHS).

Administrative Duties:



Provide administrative support to Vale Royal Abbey management and Presidents.

Prepare and distribute agendas, minutes, and reports for meetings, including those of the Vale Royal Abbey committees and sub-committees.

Manage correspondence, emails and phone calls, ensuring prompt responses to inquiries.

Maintain organised records of all Club activities, events and communications, in compliance with the VRA Constitution and Rules.

Assist in maintaining the Club's Membership database, ensuring accurate and up-to-date records of all Members.

Assist in the processing of Membership applications, renewals and resignations in line with Vale Royal Abbey Membership policies.

Communicate Membership benefits, policies and updates to Members.

Assist in handling Member inquiries, concerns, and complaints in a professional and timely manner.

Event Coordination:



Plan and coordinate Vale Royal Abbey in house and open competitions, events and social activities, in collaboration with Vale Royal Abbey management and Club committees.

Oversee the management and production of Vale Royal Abbey fixture list working in collaboration with the relevant committees.

Liaise with event organisers and Members to ensure successful events.

Assist in promoting Club events through various communication channels, including newsletters, social media, and the Club's website.

Assist in managing event registrations.

Golf Handicap Management:



Oversee the administration of the Club's handicap system working alongside Vale Royal Abbey Handicap and Competitions committee, ensuring accurate and timely updates of Members' handicaps in accordance with the World Handicap System (WHS).

Provide support and guidance to Members regarding the WHS and their individual handicaps.

Communication and Marketing:



Develop and implement communication strategies to keep Members informed and engaged, in line with the Vale Royal Abbey Constitution and policies.

Assist in the Club's website and social media management, ensuring content is current and relevant.

Create and distribute newsletters, promotional materials, and other communications.

Compliance and Governance:

Ensure that Vale Royal Abbey complies with all relevant laws, regulations, and policies, including the Vale Royal Abbey Constitution and Register of Duties.

Maintain confidentiality and data protection standards in handling Member information.

Assist in the development and implementation of Club policies and procedures, working closely with Vale Royal Abbey management, committees, sub-committees and CUGC golf administration.

Qualifications and Skills Required:



Proven experience in administrative roles, preferably within a golf Club or similar environment.

Strong organisational and time-management skills.

Excellent written and verbal communication skills.

Proficiency in using Membership management software and Microsoft Office.

Ability to manage multiple tasks and priorities effectively.

Attention to detail and accuracy in record-keeping.

Strong interpersonal skills and a customer-focused approach.

Knowledge of golf, the golf industry and familiarity with England Golf and the World Handicap System (WHS).

Additional Information:



This is a part-time position with occasional evening and weekend work required to support Club events and activities. The role is based at Vale Royal Abbey with potential for some remote working as agreed with management.

Job Types: Part-time, Permanent

Pay: 12,480.00-13,000.00 per year
