Job Purpose:



The Governance Officer will be responsible for ensuring the Trust operates within the governance set by both its parent club and major stakeholders - PLCF and the EFLT. The objective of the role is to identify and minimise risk and ensure the Trust meets the requirements set by Employment and Health and Safety legislation.

Based in the Community Trust offices at the Select Car Leasing stadium the role also involves assisting the other department heads in the operational running of the Community Trust on a day to day and match day basis.

The post holder will also work directly with the Trustees attending all board meetings as keynote taker and report directly to the Trust Manager.

The role also requires the administration of the safeguarding software - MyConcern, working alongside the Safeguarding Lead and the designated Safeguarding Trustee, and Dashboard.

Main duties:



Governance



Ensures all projects delivered by the team adhere to governance criteria. Works alongside department heads in ensuring all policies and procedures are adhered too. EFLT/PLCF CCOP is maintained, updated and completed when needed, ensuring the trust retains its Exemplary status. Ensures all reports are produced within designated deadlines. Attends PL and EFLT work shops around governance. Acts as minute taker for Trustees meetings, ensuring minutes are distributed to all board members Ensures policies and procedures are up to date and communicated to relevant staff.

HR administration



Responsible for all HR administration for starters, leavers and existing staff and updates HR files as required. Conducts inductions for all new hires and exit interviews for all leavers. Updates HR files as required. Understands how to use the booking website and provide cover when necessary. Providing clear, consistent, accurate and timely advice and guidance to management on employee relations matters, acting as a point of contact on all HR processes and procedures. Facilitating resolution to attendance and capability issues ensuring they are addressed promptly and effectively Acting as point of HR contact on all HR processes, policies, and procedures Build a sustainable relationship with key stakeholders across the Trust. Developing and owning the Area capability plan to ensure the staff have the right skills, knowledge, and behaviours. Developing and implementing staff wellbeing programmes Analyse and present data to inform decision making and areas for improvement. Coaching, supporting department leads on key HR matters. Interpretation of business strategy into HR strategic plans.

Safeguarding:



To administer MyConcern and extract reports if and when needed. To process new starter's DBS's and ensure existing staff's DBS's are renewed on time.

General:



To uphold the Trust's GDPR and Data protection policies. To adhere to a strict code of confidentiality in respect of any information relating to Reading Football Club and its operations. To maintain and follow Reading Football Club Community Trust's policies and procedures (including but not limited to Safeguarding (Child Protection), Health, Safety, Equal Opportunity, Data Protection and Mental Health and Wellbeing). To act in a manner that always supports the Trust's Vision and Values, representing the Trust in a professional manner. To be presentable at all times when working and demonstrate that you can represent the face of the club in the manner expected. Ensure your DBS remains up to date by renewing it every 3 years, as well as ensuring all training requirements for your role are up to date.

Experience-

Experience in improving policies and procedures within the work place (E) Human resource experience within the work place (E) Knowledge and experience of working with SAGE Working within a Trust or Foundation (D) Previous experience of operating in a governance role within the work place (D)
