This job description outlines the core responsibilities of the Graduate Quantity Surveyor role and may be subject to change depending on the evolving needs of the business.

PURPOSE OF THE POSITION:



The role and responsibility of an Assistant Design Coordinator (ADC) is to aid a Design Manager / Coordinator on two separate projects. The ADC will assist with the management of two large project teams to produce Design information which is:

Fully coordinated between all Consultants and Contractors. Fully compliant with the Tender Specification & ERs. Fully compliant with current Legislation and Regulation. Within Budget and Buildable. Delivered on Programme.
The ADC plays a fundamental part in the successful delivery of the project alongside the Project Manager, Design Manager / Coordinator and Quantity Surveyor - The Project Delivery team.

KEY DUTIES & RESPONSIBILITIES:



The Assistant Design Coordinator must be capable of working independently by their own initiative however, they must also have the foresight and ability to decipher if a Design Manager / Coordinator action, input decision is required. This role of the Assistant Design Coordinator will include the management and mentoring of the Project Document Controller(s). The ADC must promote continual improvement, apply and enforce company procedures and assist the Document Controller with their career progression. The Assistant Design Coordinator, in their daily and overall approach to the project must demonstrate determination, drive and dedication. Drive, Initiative, Control, Negotiation and Communication are essential skills required to master this role. The Assistant Design Coordinator must at all times manage the production of Design with commercial, contractual, programme / time awareness and technical expertise. "Is it within budget and is it buildable? "Seek Value and investigate options / alternatives at all stages of the design. The Assistant Design Coordinator will assist the DM / DC with the production of the Consultant appointment documentation. The ADC will edit consultant scope package requirements and issue to the DM / DC fordistribution. This package includes:
- Scope of Design Services / Deliverables per discipline / package.

- Design Programme / IRS.

- Milestone Payment Schedule.

- Design Responsibility Matrix.

- BIM Protocol.

- Drawing Examples - Interior, Kitchen, Bathroom, Wall Type drawings, Window & Door schedules. Set the precedent - Contractual Requirement.

- Review and agree Novation agreement wording if applicable to the project/contract

The Assistant Design Coordinator must meticulously review / read the Project Specification, Employers Requirements, Planning Report / Approval, all Drawings and all other design associated tender documentation in advance of producing the "Design Risk & Opportunity Schedule". This schedule must be analysed with the Project team at the beginning of a project. The Assistant Design Coordinator must monitor, understand and as necessary, update the Design Programme/ IRS. It is the DC's & DM's responsibility to ensure all consultants / contractors produce and deliver the required information on programme - the ADC must help the DM / DC achieve this via communication with the Design Team. This is not an isolated document - it must, at all times be coordinated with the Construction and Procurement programmes. The project team must be notified immediately of any delays or programme issues. The Assistant Design Coordinator will assist the DM / DC with the production and distribution (as required) of the following Design Documents / Schedules within the first two weeks of a new project. These documents are to be updated fortnightly in advance of the DRM.
- Design Programme / IRS.

-Milestone Payment Schedule.

-Design Responsibility Matrix.

-Planning Condition Tracker.

-Design Risk & Opportunity Schedule.

-Building Warranty Tracker.

-Building Control Tracker.

-Design Fee Schedule.

-Design Team Meeting No 1 Agenda.

-Design Change Tracker (Change Control).

The Assistant Design Coordinator should record the Design Team Meeting / Workshops minutes, which are being chaired by the DM / DC. A comprehensive and concise set of meeting minutes must be distributed within two days of the meeting clarifying: Action, Responsibility, Close out Period. The DM / DC must drive production, but the minutes produced must be robust. The Assistant Design Coordinator must help the DM / DC with the production of the Design Review Meeting (DRM) documentation on a fortnightly basis. Progress and Problems will be reviewed, discussed and actioneDRM) documentation on a fortnightly basis. Progress and Problems will be reviewed, discussed and actioned with the Regional Design Lead / DM. Actions must be closed ahead of the next Design Review Meeting. The Assistant Design Coordinator must understand the Consultant Payment process. The Milestone Payment Schedule will be agreed with consultants at the beginning of a project (contractual document). All invoices are to be reviewed / signed off by the DM & DC prior to approval by the Commercial team. The Design Fee Schedule must be updated fortnightly by the ADC once approved by the DM / DC. The Assistant Design Coordinator must ensure that all drawings are thoroughly reviewed and checked. The level of detail must be to the required standard from which the site team can construct - "For Construction" Status drawings need to be firm and final. The drawings must reflect what has been priced at tender stage (ER's) - a comprehensive "Change Control" tracker is to be maintained throughout all stages of the project. The Assistant Design Coordinator must help the DM / DC with the Document Control / Management procedure. This will be established by the BIM Manager however it is the responsibility of the ADC / DC to ensure all Consultants and Contractors are complying with requirements. The Assistant Design Coordinator must aid with the production of a "Design Close Out Schedule" 2 months before the Design is concluded (This is not Project PC). Action, Responsibility, Close out Period.
This must include a strategy to close out:

-Outstanding Design Issues & Elements.

-Planning Conditions.

-Building Control Conditions.

-Building Warranty Conditions.

-BREEAM Certification.

-O&M Manual and HUG.

-As Built Drawings.

-Programme Air and Acoustic Tests.

-Sign off of all Samples and Technical Submittals.

Performance Assessment



The Assistant Design Coordinators performance will be assessed against the following KPI's:

-Communication and Interaction with Project Team members.

-Close Out Process - The efficient close out of the following key Design stages:

-Planning Condition Discharge.

-Building Control Discharge.

-Building Warranty Discharge.

-HUG & O&M Production.

-Document Management - The efficient movement and flow of Design information.

Minimum Qualifications



-A BTEC in Building Studies, Building Engineering or Building Management or a HNC / HND / Degree in

Construction Management or Architecture (including an industrial placement).

-A minimum of 2.5 years' experience of managing elements of construction projects.
