Roles & Responsibilities

Exciting position to act as the Fleet Manger, providing support and the delivery of services to all totally outsourced clients, to include the management team and drivers alike.

Duties and Responsibilities

  • Have a full understanding of the client requirement as a whole and guide all parties accordingly
  • Dealing with incoming enquiries by telephone and email
  • Contact new starters to welcome them to the scheme, walk them through the fleet policy and get them mobile as quickly as possible. Update the database and Prolease as required
  • Dispatch of contract renewal emails and assist with vehicle selection, pointing them toward Tax APP, ensure vehicle fit for purpose, lifestyle requirements etc
  • The organisation of demo vehicles as requested by our customers, ensuring the appropriate models are in line with driver grades and considering the guidelines
  • Obtaining confirmation of on the road prices from suppliers
  • Preparation of vehicle quotations using our in-house system making sure that correct discount levels have been applied and adhere to the tailored client policy
  • Raising proceed to order or tailored client order forms as relevant
  • Sourcing and ordering of vehicles with our internal and external suppliers
  • Total management of SMR and safety recalls; notification, assistance with booking, follow up to ensure satisfaction and closely liaise with all ancillary service partners e.g. AAAM, Driver Check, DriveTech, TrakM8, fuel card providers in partnership with Imps Team
  • Having an overview of any day-to-day driver or vehicle concerns and escalation to Ops or Imps if required
  • Initial DR enquiries, liaising with DR team
  • Manage leavers, liaising with logistics team for vehicle collection, update database and Prolease, remove driver name from relevant ancillary services
  • In life vehicle movement management, liaising with logistics and maintaining record of \'spare/pool\' vehicles
  • Arranging for any relevant authorisation letters to be sent to drivers as requested eg. overseas travel, fitment of towbars, parking permits etc.
  • Manage early termination or end of contract damage enquiries liaising with Ops or Remarketing
  • Guide drivers in terms of AutoCentre set up and use
  • Guide drivers with Affinity enquiries
  • Liaise closely with relevant area manager
  • Provide support and assistance as and when required by the client management team
  • Ensuring suppliers adhere to agreed KPIs; escalate as required to Imps
  • Upkeep of tailored client process documents x 2 - \'what the customer should expect\' guide and internal how to for operator\' guide
  • Maintenance of client profiles, cost centring and reallocation liaising with the Imps Team
  • Tailored MI as set up for individual customers, in partnership with Rosie
  • Analysing trends and working with AMs to evolve policies
  • Act as ambassador for the company on all external or internal reviews or meetings with customers and/or suppliers
Skills Required
  • Degree educated with proven customer service, car leasing or automotive related experience.
  • Positive, flexible approach, highly self and team motivated with the ability to build effective internal and external relationships
  • Confident, proactive and dynamic, with a can-do attitude, enthusiastic with high level of energy
  • Excellent organisational and prioritisation skills, delivering a systematic, controlled approach, with keen attention to detail
  • Ability to learn effectively and follow through, applying problem solving techniques
  • Good interpersonal, communication, verbal, and written skills, both internally and externally at all levels
  • Ability to focus and contribute effectively in a fast paced, changing environment
  • Computer literate to intermediate level on all Microsoft Packages
  • Good mathematical skills

HOLIDAY: 25 days holiday plus the 8 bank holidays

HOURS OF WORK: Monday to Friday 9.00 - 17.30 (37.5 hours per week)
