As the Groups Events Planner you will play vital role in selling, organizing and managing groups events here at the Hotel. You will be the key point of contact for our clients and guide them through the planning process to deliver a memorable stay at Virgin Hotels Edinburgh. Your positivity, ability to learn and strong work ethic will enable you to thrive in a busy event and sales environment.


Communication and collaboration are key to this role; you will be the key link between the clients and the operational hotel teams to make dreams come true. It helps if the guest sings our praises too.

What exactly you will be doing...


Your day-to-day will include:


That's the phone and we need an outstanding, professional, proactive representative of the Virgin Hotels brand to pick it up. This is the first point of sale and will set the tone for the rest of the Virgin experience. Perform a variety of administrative duties, including preparing proposals, contracts, emails, group resumes, and invoices; organizing guest room blocks; and assisting with additional client requests as needed. Participate in collaborative meetings and assist with planning and executing client needs, regardless of size or complexity. Support the hotel team by preparing detailed event briefs and Banquet Event Orders (BEOs) for groups and events to ensure seamless execution and an exceptional guest experience. Conduct show rounds and site visits for prospective clients. Actively sell all hotel services and amenities, encouraging guests to extend their stay and enhance their overall experience.

What qualities are we looking for?

Great team player with the ability to create excellent working relationships across the group. Collaborative approach with all departments, particularly the front desk team, food beverage and of course, the sales marketing and events team. Ability to manage your time and deliver great experiences for new clients whilst maintaining an outstanding relationship with our existing premium clients. Excellent organizational skills and the ability to multitask are essential. Strong communication skills. Creativity and innovation are essential! Highly organised, detail-oriented, and confident managing multiple deadlines.

Must-haves:

A minimum of 1-2 years' professional experience hotels. Ability to clearly and pleasantly communicate in English with clients, guests, suppliers, teammates/management, in person, in writing and on the telephone Proficient in MS Outook, Word, Excel and PowerPoint Legal right to work in the UK
