About the role


Hyatt Place London City East is seeking an organised and proactive Group & Events Sales Coordinator to join our dynamic Sales team. This role will support the Groups and Events function across both bedroom and meeting space enquiries, ensuring a seamless journey from initial contact through to event execution.


Working closely with our Senior Groups Executive and Meetings & Events Executive, the Coordinator will play a key role in quoting, planning, and liaising with operational teams to deliver memorable experiences for our clients.


Key Responsibilities


Sales & Coordination


Input bookings into the system and distribute leads to relevant team members, maintaining data accuracy and proper follow-up.*
Support the Sales and Reservations team by preparing and sending quotes for group and event enquiries, ensuring timely and accurate responses, across all platforms when required.*
Prepare tailored proposals, contracts, and proforma invoices for small groups and events.*
Support sales projects including updating the events calendar, maintaining platform listings, and coordinating internal sales initiatives.*
Participate in proactive sales initiatives and assist with client show rounds and familiarisation visits when required.*


Event Planning & Execution


Full ownership of the planning of confirmed events, preparing all necessary documentation (Event Orders, group summaries) and ensuring every operational detail is accurately captured and communicated.*
Act as the key liaison between Sales and Operations, coordinating logistics, set-ups, timings, and F&B details, pre-conference briefs to ensure seamless delivery.*
Serve as the main point of contact for clients on the day of their event, providing on-site support and ensuring a smooth experience from start to finish.*
Ensure timely closure of files and post-event follow up, including client feedback and billing reconciliation.*


Collaboration & Communication


Foster positive working relationships with internal teams including Front Office, F&B, Kitchen, Revenue, and Housekeeping to support flawless execution.*
Contribute to a culture of service excellence, teamwork, and continuous improvement.*


Qualifications & Requirements


1-2 years of previous experience in hotel sales, events, or operational roles preferred.*
Strong organisational skills with the ability to manage multiple priorities and meet deadlines.*
Excellent written and verbal communication skills.*
Proficient in Microsoft Office; knowledge of hotel systems (Opera, Envision, or similar) advantageous.*
A team player with a proactive and flexible approach, comfortable working in a fast-paced environment.*
Fluent English language skills essential.*
