We are currently looking for a
Guardianship Operations Assistant
to join the team responsible for the welfare, safeguarding, and support of international students under the organisation's guardianship. This role involves regular liaison with students, parents, and school staff to ensure effective communication and a high standard of care. The postholder will oversee homestay and student travel arrangements, assist with student placements, and handle essential administrative and operational duties, as well as supporting the wider team with adminstrative tasks as and when necessary.
We currently operate a hybrid-working model, with three days in the office and two days working from home per week.
Key Responsibilities
Coordinate off-term arrangements for students, including booking travel, liaising with homestay providers and schools, arranging transportation, and preparing necessary documents.
Manage and maintain the homestay network, ensuring host families meet safeguarding requirements through regular communication, monitoring, visits, and compliance checks.
Respond promptly to emergency situations and ad-hoc events or requests, ensuring appropriate action and support.
Maintain up-to-date student records, including log updates and database management, ensuring all records and documents are accurate and compliant with safeguarding regulations.
Handle additional administrative duties including filing and data entry.
Create and manage social media content to enhance engagement and outreach.
Liaise daily with international students, their parents, and school staff to facilitate smooth communication and support.
Support students with daily necessities including essential purchases, mobile plans, and bank account openings.
Take turns manning the company emergency mobile phone for out-of-hours contact
Occasionally travel to other cities to visit students and schools as part of the guardianship support duties.
Utilise Microsoft Office and proprietary database system for administrative tasks.
Essential Skills and Qualifications
Experience in student support, guardianship, or educational administration
Excellent written and oral communication skills, with demonstrative phone etiquette and the ability to communicate clearly and professionally.
Excellent organisational abilities to manage multiple tasks effectively, whilst maintaining a high level of accuracy and attention to detail.
Proactive and reliable.
Proficient in using Microsoft applications for document creation and management, data entry and clerical tasks.
Ability to handle emergency situations with professionalism and care.
Strong understanding of safeguarding and AEGIS compliance requirements is desirable.
Fluent in English; additional language skills (Spanish preferred) are an advantage.
Comfortable working independently and as part of a small team.
