The Operations & Systems Lead is a senior operational role responsible for the efficiency, structure, and scalable growth of Party Peeps. You will shape the systems, processes, and operational infrastructure that enable the business to run smoothly, profitably, and consistently as it expands.
This role is central to ensuring the company delivers exceptional experiences at scale; coordinating people, processes, technology, and resources so the organisation can grow confidently without compromising quality.
You will provide strategic direction for operations, optimise processes across the business, enhance capacity and utilisation, and ensure Party Peeps is built on strong operational foundations that support long-term, sustainable growth.
2. Key Responsibilities
A. Operational Strategy & Efficiency
Design, implement, and continually refine scalable operational processes that improve efficiency and service consistency.
Build the operational infrastructure needed for business growth, ensuring systems, scheduling models, workflows, and quality standards evolve with demand.
Lead on the selection and optimisation of operational tools (project management, CRM, scheduling, automation platforms).
Ensure operational risks are identified and mitigated early through robust systems and documentation.
B. Financial Performance & Resource Planning
Support the development of operational budgets, ensuring efficient use of resources across the business.
Monitor utilisation, capacity, and scheduling accuracy across team members and freelancers.
Drive improvements in profitability through better cost control, process efficiency, and data-driven decision-making.
Introduce and track key operational KPIs relating to performance, efficiency, and cost-effectiveness.
C. Leadership, Collaboration & Team Operations
Act as the operational link between delivery, logistics, office teams, customer experience, and marketing.
Lead operational communication rhythms and ensure smooth cross-department workflow.
Support team members with training, onboarding, and process adoption to ensure company-wide alignment.
Champion a culture of clarity, accountability, and continuous improvement.
D. Systems, Technology & Infrastructure
Build simple automations to reduce manual work and improve consistency.
Maintain and evolve the Party Peeps Operations Playbook, ensuring processes remain clear, current, and scalable.
Oversee operational tools, software, and systems to ensure they support efficient workflows.
Strengthen operational infrastructure to handle increasing volume and complexity.
In essence: You ensure the business operates cleanly, efficiently, and profitably and becomes more scalable every quarter.

A. Qualifications & Experience
Experience in operational management or systemisation within a small business or SME.
Proven track record in improving processes, implementing systems, or leading operational change.
Confident using project management software, digital tools, and workflow systems.
Experience with scheduling, resource coordination, or service delivery operations.
Commercially aware, with understanding of budgets, margins, utilisation, and efficiency.
