Job Description

To provide technical administrative support within the HSE team to deliver, facilitate and maintain

the efficient and excellent provision of HSE legal compliance services to all parts of OFL business

operations. This is a great opportunity to become part of a health, safety and environmental team

Key duties and responsibilities:



Support HSE team in ensuring HSE processes and procedures are followed on a day to day

basis and supporting and coaching colleagues across the business.

Be approachable and visible across the site offering support and HSE guidance.

Support and lead projects which will improve health and safety behaviours at site.

Supporting the implementation of company HSE policy.

Support internal HSE audits to ensure legal compliance.

Develop and maintain the HSE electronic management system (Entropy).

Collate all accident documentation and conduct thorough investigation, liaising with OFL

managers to ensure suitable corrective actions are in place and provide guidance where

necessary.

Escalating incidents to senior managers within the business when appropriate.

Create and manage filing systems for HSE documentation.

Data inputting all relevant information for the maintenance of the risk management section

of the HSE electronic management system.

Proactively taking steps on timely actions by notifying the relevant parties of impending at

risk management actions.

Reviewing incidents and proactively reporting RIDDOR cases, liaising directly with local

authorities and providing case files where necessary.

Review Near Miss submissions via entropy from managers ensuring they are fully completed

providing guidance where necessary.

Lead point for ISO gap analysis and implementation team

Manage The Legal Register ensuring we are compliant with current legislation by

researching and working with others business wide to update. Ensure that new pieces of

legislation and updates are also captured.



General administration - for example, typing and formatting of policies standard operating

procedures and preparing presentations

Liaise with third party insurers and solicitors for employee liability claims in conjunction with

employee health and wellbeing.

Preparing agendas for HSE team meetings, taking minutes and tracking actions to ensure

progress and completion by the team.

To follow procedures to ensure that tasks are undertaken in a consistent and effective

manner.

To undertake any other tasks reasonably allocated by the team for the successful delivery of

HSE Risk management.

Assist with managing online training system and provide cover when required

Design and maintain HSE notice boards at head office



Management reporting - to include:



Creating and developing management reports on HSE key area management of risk and KPIs.

Creating and developing reports on incident information

Add reports and written updates to the monthly board report, monthly senior meeting

report and the bi-monthly Executive committee pack

Provide in and out of hours support on minute taking when required

Risk assessments programme - to include conducting medical/pregnancy risk assessments,

updating RA timetable, chasing people for completion of RAs, sending out actions after

workshops and reviews, and following up on the sign off evidence.

IOSH certification (or NEBOSH preferable)

Experience in distributions and logistics is preferred
