Join us at the Money and Pensions Service (MaPS) as the Health and Safety Advisor where you will play a crucial role in ensuring a safe and compliant work environment across all organisational activities.
Reporting to the Health and Safety and Estates Manager, the primary focus of this position is to implement and maintain effective health and safety systems and processes that safeguard the wellbeing of all staff and visitors. This includes the rollout of a centralised Health & Safety Management System, coordination of health and safety training, and the establishment of incident reporting frameworks to foster a culture of safety within the organisation.
In addition to health and safety responsibilities, the Advisor will take the lead role in managing the day-to-day facilities operations at Bedford Borough Hall twice a week. This includes welcoming guests, liaising with stakeholders, addressing any facilities issues that arise, and ensuring the overall functionality of the office environment.
The role requires strong organisational skills, attention to detail, and the ability to communicate effectively with colleagues at all levels. A proactive approach to problem-solving and the ability to adapt to changing needs will be essential in creating a safe and welcoming workplace for all.

Key Responsibilities:
Assist in the rollout and maintenance of the centralised Health & Safety Management System (H&S MS).
Coordinate the scheduling, delivery, and tracking of health and safety training modules for staff.
Support the implementation of incident and near-miss reporting frameworks.
Collect, collate, and prepare reports on health and safety incidents, near misses, and risk assessments for review.
Develop and distribute materials for health and safety communication campaigns.
Support initiatives to raise awareness of health and safety responsibilities across the organisation, including delivery of the communication strategy
Assist in conducting risk assessments and documenting findings.
Help ensure compliance with policies and procedures through routine checks and audits.
Provide logistical support for the Health & Safety Committee meetings, including scheduling, documentation, and follow-up actions.
Facilitate communication between staff and management regarding health and safety issues.
Work with the Learning and Development department to coordinate training schedules, track completion rates, and maintain training records to achieve 100% staff participation.
Delivery of in person office management tasks 2 days per week and as required to cover leave
Being a positive, proactive and welcoming host for MaPS for all colleagues and visitors to the office and inducting them on key Health and Safety information
Acting as the first point of contact for any workspace problems visitors and colleagues may have
Encouraging team work to be keep our office clean and tidy
Support on office cleanliness by ensuring the dishwasher is run and the coffee machine cleaned daily
Support liaise with suppliers and contractors to coordinate works and/ or deliveries and collections, including vetting the relevant safety documentation in advance, inducting them on key Health and Safety information, and managing contractors on site to ensure a safe working environment for all
Support the management of the office and facilities related issues and incidents to ensure resolution, including accurate record keeping and liaising with the landlord and/or contractor in a timely manner
Providing support to key MaPS meetings by setting up meeting room logistics and sourcing catering for lunches when required and cleaning up after meetings
Support the procurement of ergonomic furniture for colleagues requiring specialist equipment at home and in the office
Ensuring the office environments are safe and compliant through completion of monthly checks, provision of safety resources, managing colleague compliance of safety and security arrangements, management of COSHH products and ensuring food safety standards are met.
Be a Fire Warden and First Aider, recruit and coordinate training other colleagues to be supporting fire marshals and coordinating fire evacuations and drills
Provide ad-hoc support to IT to resolve any IT problems colleagues/visitors may have
Manage incoming and outgoing post and deliveries across all departments
You will need to demonstrate the following skills and experience:
Previous experience supporting health and safety programmes or systems within a similar organisational context.
Strong administrative and coordination skills, with experience managing reporting frameworks and documentation.
Knowledge of UK health and safety legislation and best practices.
Experience in delivering or supporting health and safety training and awareness campaigns.
Proficiency in data collection, analysis, and preparing reports.
Excellent communication skills for liaising with staff at all levels and supporting committee activities.
Experience of delivering a customer focused service
Ability to manage multiple priorities and work proactively with attention to detail.
Competent use of all standard MS Office applications
Relevant health and safety qualification (e.g., IOSH Managing Safely or equivalent)
