We support high-profile events, major hospitality operators, local authorities, TV and film industry and construction firms plus other industry sectors. The Role
We are seeking an experienced and highly organised Hire Desk Controller to join our team. This is a key role within the business, acting as the central point of contact for customers and coordinating internal operations. You will handle incoming enquiries, produce quotes, schedule deliveries and collections, book engineers for installations, and support service-related requests. Working closely with the Operations Team and the company directors, you will help ensure every hire runs smoothly from enquiry to completion.
Key Responsibilities
Customer Enquiries & Quoting
Handle incoming telephone, email, and web enquiries.
Provide product knowledge and hire guidance to customers.
Prepare and issue accurate quotes using the company's hire systems.
Follow up on quotations to convert enquiries into confirmed bookings.
Maintain excellent relationships with existing clients.
Hire Coordination & Logistics
Schedule and coordinate deliveries, collections, and installations.
Liaise with clients regarding site access, delivery requirements, and timelines.
Work alongside the Operations Team to plan daily and weekly logistics.
Allocate equipment and resources effectively to meet customer needs.
Engineer & Service Coordination
Book engineers for installations, site works, and emergency call-outs.
Log and track service issues, ensuring timely communication with customers.
Assist with prioritising jobs and coordinating responses with the engineering team.
Administrative & Operational Support
Update hire system records, asset availability, and job statuses.
Support the directors and operations team with scheduling, planning, and project coordination.
Maintain clear documentation for each hire contract.
Assist in developing internal processes and improving customer experience.
Skills & Experience Required
Essential
Experience in the food service, catering equipment, or commercial hospitality industry.
Strong understanding of commercial kitchen equipment (e.g., ovens, refrigeration, ware washing, hot holding, counters).
Excellent communication skills and confident telephone manner.
Strong organisational ability with high attention to detail.
Experience working in a hire desk, operations, scheduling, or customer service role.
Ability to multitask, manage priorities, and remain calm under pressure.
Competent with IT systems, CRM/hire software, and Microsoft Office.
Desirable
Experience scheduling engineers or service teams.
Knowledge of logistics, hire processes, and fleet planning.
Background in equipment rental, events, hospitality operations, or FM sector.
